A leading company within the heavy industry is seeking a proactive and resourceful Executive Assistant/Office Manager for their London headquarters.

This role will primarily support the CEO, as well as 5-6 Directors on an ad-hoc basis. The position will also be responsible for office management.
This is an exciting opportunity for someone who wants a role that they can make their own, with opportunities to grow the role in the future along with assisting with ad hoc projects. There may also be occasional opportunities for global travel.
Job & Candidate Requirements
Executive Support
1. Provide a high level of administrative and secretarial support directly to the CEO.
2. Calendar/Diary Management: Provide strategic diary management, inbox management & prioritization, and time planning support.
3. Meeting Management: Schedule, coordinate & facilitate meetings/appointments, conferences, and events. Support with related meeting minutes/notes/agendas where required, ensuring seamless execution and timely follow-up.
4. Travel Management: Oversee and manage complex travel arrangements & itineraries (e.g., accommodation, transportation, security). Create detailed itineraries/agendas for daily activities.
5. Expenses: Process detailed expense reports for the CEO’s expenditure to deadline and with accuracy (experience with Workday desirable).
6. Event Coordination: Assist with events management and functions when required.
Office Facilities Coordination
1. Manage general office administration & operations, including building access & protocols, office maintenance activities, inventory management, compliance with H&S/environmental regulations, vendor management & office documentation control.
2. Perform ad-hoc reception duties in the absence of the office receptionist.
The ideal candidate will have previous EA experience at C-Suite level and be excited to take on more responsibilities across the business. You will be flexible, forward-thinking, and collaborative.
Fluency in Spanish would be an added bonus. Previous experience in heavy industry/engineering/mining would be desirable.
