The Role In this role you will provide comprehensive and proactive secretarial and administrative support to the MD UK&I and VP HLG Europe, including smooth and efficient running of their offices and dealing with all matters in a professional, efficient, and timely manner. Your day to day Provision of full secretarial support including diary management, all travel & accommodation arrangements, meeting co-ordination, business expenses and dealing proactively with all telephone calls and written correspondence. Monitor e-mail traffic and respond promptly to time sensitive requests. Pro-active in holistic management of the diary and resolve issues prior to actual schedule. Co-ordinate and manage meetings hosted by the VP. Includes notification, registration, logistics and follow-up within time parameters. To devise and maintain an up-to-date filing, storage and follow up retrieval system. To work with other functional managers as required to assist in any secretarial support– including processing invoices, organizing external meetings as required and any internal communications as needed. To complete all administration accurately and timely for all expenses, holidays, absence allocation and authorization of expenditures, budget maintenance and invoice processing. To undertake special duties or work outside the normal daily/weekly routine but within the overall scope of the position at the request of the Senior Leaders. To attend and take notes and minutes at key company meetings, transcribe and communicate to colleagues in a timely manner. To support with event management and organisation. To carry out background research and present findings as required. To meet and greet visitors. What We Need From You Whilst we love experience, mindset is of equal importance. Maintain absolute confidentiality in regard to employees, company information and human resource issues. Initiative.
