About the Role
As a Project Assistant, you will play a pivotal role in supporting Senior Management to ensure the efficient execution of projects within the homeless and mental health services sector. You will assist with the coordination of projects, help manage documentation, monitor budgets, and keep stakeholders informed and engaged. Working Hours
This is a full-time position based in Birmingham, with working hours from Monday to Friday, 9:00 AM to 5:30 PM.
Key Duties
As the Project Assistant, your responsibilities will include:
* Project Coordination: Assist in developing and maintaining project schedules, coordinate meetings, prepare agendas, take minutes, and follow up on action items.
* Documentation and Reporting: Maintain project documentation, prepare regular status updates, and ensure all project files are stored systematically.
* Budget and Resource Management: Help track project budgets, monitor resource allocation, and prepare financial reports.
* Communication and Liaison: Act as the point of contact for all project stakeholders, facilitating communication between teams and subcontractors.
* Risk and Issue Management: Identify and assist in the development of mitigation plans for any project risks or issues.
* Quality Assurance: Support the implementation of quality control processes and ensure deliverables meet required standards.
* Administrative Support: Provide general administrative support, including data entry, filing, and handling logistics for project-related travel and events.
Key Requirements
To succeed in this role, you should have:
* Proven experience in a project coordination or assistant role.
* Strong organizational skills with the ability to manage multiple tasks and deadlines.
* Excellent communication skills, both written and verbal.
* Experience working within the homelessness or mental health sector is desirable, but not essential.
* A proactive approach to problem-solving and attention to detail.
* Ability to liaise effectively with internal and external stakeholders, including local authorities, subcontractors, and service users.
* A basic understanding of budgeting and financial reporting.
