Michael Page/Page Personnel are incredibly excited to announce that we are partnered with a multi billion turnover manufacturing organisation based near Newport to recruit an Executive Assistant to the UK CEO. You will play an integral role in supporting the CEO's run efficient and productive work schedules. Being part of a global corporate, you will need exceptional stakeholder management skills in addition to experience managing international travel and meetings. You will provide ad hoc travel arrangement support to 5 other VP's but predominantly focus on strategic EA support to the UK CEO. The organisation is a multi billion turnover manufacturing organisation with over 50,000 employees globally. They are the market leader in their field and have an excellent brand reputation as a reputable employer. Free on site parking is offered including hybrid working 1-2 days per week.
Job Description
Reporting into the UK CEO and providing ad hoc travel arrangement support to 6 VP's. Ideal position for an EA looking for strategic responsibilities, c-suite level exposure, stakeholder management and support to board level individuals in a multi billion turnover global corporate.
Responsibilities:
1. Coordinate complex scheduling and extensive calendar management and all associated arrangements to ensure the smooth running of scheduled and to optimum effectiveness of the CEO's time, to include agenda, briefing materials, packs, travel and refreshments.
2. Monitor and prioritise incoming mail/emails/calls on a daily basis, dealing, responding and redirecting as appropriate.
3. Prepare, including design where appropriate and production of presentations, correspondence and reports/background research as required.
4. Prepare meeting material as well as attend meetings to take the minutes/actions when required and follow up prior to the next meeting.
5. Maintain control of CEO budget, process invoices and monthly expense claims for the CEO and their direct reports, ensuring the expenses policy is adhered to at all times.
6. Meet and greet visitors and arrange catering as required.
7. Plan and arrange complex travel to include booking flights, taxis and hotels for Executive Team and for others across the business as required.
8. Responsible for the monthly preparation and presentation of the Business Performance Pack to ensure all data is provided and the presentation is prepared.
9. Support the communication teams with organising events to include SSGB roadshows and leadership conferences.
10. Maintain Executive team electronic folders.
11. Provide strong support in administration of the executive internal control environment (assuring compliance with ICE/DACI requirements, which includes 'manage the company' processes and procedures).
The Successful Applicant
The ideal candidate:
* Previous experience as an Executive Assistant / PA to C-Suite level.
