An exciting opportunity has arisen for a proactive and detail-oriented Programme Coordinator to support in coordinating the provision of research, financial management, and logistical support to the Mental Health Inclusion, NTDs and Disability (MIND) management team, researchers and consortium partners across multiple grants. The MIND Unit collaborates with international partners to enhance care for individuals affected by chronic health conditions across multiple countries.
Key responsibilities will include:
General administration
* Undertake financial administration, including processing orders, invoices and expense claims,
* Deal with queries from suppliers, service providers and staff/students relating to payments and expenses
* Prepare and input budgetary information and monitor financial information in collaboration with LSTM finance team
* Place orders for stationery and supplies and ensure equipment is renewed and up to date
* Create and develop virtual monitoring and recording systems for effective online project management
* Coordinate the creation, formatting, referencing and editing of reports, research proposals and associated documents for funders
Project Activities
* Collate data management plans and ethical submissions for projects in collaboration with MIND team members
* Coordinate meetings linked to projects, providing a point of contact for queries, support and administrative advice
* Prepare funder reports, including narrative and online reporting formats
* Develop and maintain systems to record research outputs, workplan deliverables and milestones
* Proofreading of articles for submission to journals/research papers ensuring correct referencing styles have been used
Coordination of travel, events and meetings
* Oversee travel and hospitality arrangements for members of staff and visitors for both UK and overseas trips
* Coordinate national and international meetings, conferences and workshops, including booking travel, meeting rooms and hospitality
* Organise the financial requirements for trips, including ordering currency and/or arranging bank transfers
* Process invoices for partners, ensuring project milestones have been met before payment
* Coordinate international virtual meetings on MS Teams; prepare and circulate meeting notes/minutes
Communications and Stakeholder Engagement
* Support in the development of communications plans to disseminate key research outputs
* Provide support in planning, organising and delivering a variety of different channels of communication including publications, online, and media
* Liaise with partners to obtain relevant information to keep the websites up to date
* Prepare documents such as leaflets and publicity material with team members.
The ideal candidate will have excellent communication skills with experience working on large complex projects, ideally within an academic environment, and an understanding of the funding environment for research in the UK and Internationally. The successful post-holder will demonstrate:
* 5 GCSE’s at Grade C or above (or equivalent) including Maths and English Language
* NVQ Level 3 (or equivalent) in Business Administration or Finance
* Experience in organising workshops and meetings and taking minutes
* Experience in financial administration (e.g. ordering, paying invoices, maintaining financial systems)
* Excellent organisation ability and attention to detail
* Advanced working knowledge of relevant computer software (e.g. Microsoft Word, Excel, PowerPoint)
* Ability to network, build and maintain internal/external partnerships/relationships
* Experience of working on international collaborations/environment
* Experience in booking overseas travel
