We are now looking for a Receptionist and Facilities Administrator to join our team working for a better future. The preferred location for the position is in Fareham, UK.
What you will be doing
We are seeking a highly organized and personable Receptionist and Facilities Administrator to join our team. This dual-role position is responsible for front desk operations as part of a small team and overseeing the maintenance and functionality of our office facilities. The ideal candidate will be a proactive problem-solver with excellent communication skills and a keen eye for detail.
As Receptionist & Facilities Administrator, your work will focus on these responsibilities:
1. Operate the telephone switchboard to answer, screen, and forward calls, providing information and taking messages.
2. Process incoming and outgoing mail.
3. Greet and assist visitors, maintaining a neat and business-like reception area.
4. Perform administrative tasks such as operating copy and fax machines and maintaining the conference room schedule.
5. Manage office space planning and allocation.
6. Manage facilities, including coordinating maintenance and repairs, ensuring the office environment is clean and well-maintained, and liaising with vendors and service providers.
7. Work with existing reception staff to ensure full coverage and support.
8. Provide administrative assistance to the board of directors as required.
9. Assist with travel plans, both domestic and international, for board directors and specified key members of staff.
To be successful in this role, we expect you to have:
1. Excellent communication and interpersonal skills.
2. Proficiency in operating standard office equipment.
3. Strong organizational skills and attention to detail.
4. Ability to multitask and manage time effectively.
5. Basic knowledge of office management systems and procedures.
Preferred Experience:
1. Previous experience in a receptionist, administrative, or facilities management role.
2. Familiarity with office software (e.g., MS Office).
