Job Purpose:
You will play a central role in administrative duties to support the day to day running of the College/ University Centre by responding to enquiries, maintaining staff files and folders, and taking building rounds. You will be the first point of contact.
Main Responsibilities:
1. Provide administrative assistance, taking building rounds, reporting to Head of HR of any updates.
2. Cover front desk.
3. Ensuring Health and Safety of the institution.
4. Support induction processes for new staff.
5. Managing recruitment administration, including posting adverts, responding to enquiries, coordinating interviews and issuing offer letters and reviewing contracts.
6. Maintain office supplies by preparing inventory and ordering items.
7. Communicate with manager to be aware of all staff needs both present and future.
8. Keep records of staff leaves, requisition forms and other forms as required.
9. Update all policies, handbooks and relevant documents, creating version document control.
10. Answer incoming calls and assume other receptionist duties when needed.
11. Assist with organisation of meetings and recording minutes of meetings.
Requirements:
1. Bachelor’s degree.
2. Experience in a similar job role.
3. Good understanding of administrative processes and practices.
4. Office administration experience.
5. Experience in customer service.
6. Excellent IT skills, particularly MS Office365; Outlook, Excel and Word.
7. Organisational skills.
Benefits:
Salary: £24,000
Basic hours are 9am to 6pm on site.
Evening and weekend work required as appropriate.
Holiday entitlement is 28 days annual leave plus bank holidays.
Up to £5k annual incentives pro-rata given quarterly on meeting KPIs upon successful probation period.
3% annual increase per year on completion from your start date of service and on meeting KPIs.
Job Types: Full-time, Permanent.
Pay: £24,000.00-£25,500.00 per year.
