Our Client is an Independent Financial Planning Practice in Shepperton, seeking an experienced Private Client Administrator. This role will be primarily office based, but with flexibility on ad-hoc occasions to work from home. The Role Working as Private Client Administrator and PA to the Managing Director, providing exceptional quality administrative and technical support to him and the wider team. Duties and Responsibilities will include, but not be limited to: · Providing administration support · Process and submit new business to providers and ensure all paperwork is completed accurately · Ensure client data is accurately maintained on iO (Back office system), including all written and electronic communication with clients, providers and meeting notes · Prepare documentation for client meetings, including literature, illustrations and forms from providers. Pre-complete application forms and other documents for client signing or approval where necessary. · Ensure client agreements, including fee schedules, are in place and signed, documented and saved so that all client records remain FCA compliant and up-to-date · Schedule and manage follow up tasks relating to client meetings and business submissions, using iO to monitor, accurately record and update tasks · Produce client portfolio valuations and statements and assist with trades and portfolio rebalancing if required · Maintain effective business relationships with external providers through email and telephone communication · Close plans correctly on iO in a timely manner and ensure income expectations are entered on the system and settled · Follow risk profiling procedures using FinaMetrica, record risk profile score in iO and save risk profile · Comply with FCA and internal compliance procedures, ensuring all client files and information remain compliant and confidential and internal procedures are followed e.g. complaints, anti-money laundering and GDPR · Assist other members of the team, including holiday cover - Drive and enhance the client experience Requirements - To be considered for this position we are seeking either a graduate with a degree that is relevant to this industry or someone who has at least one years’ experience within the financial services sector, ideally in an administrative role, working for an independent whole of market IFA. Other requirements include: · Ideally, minimum 1 years’ experience of Intelligent Office · Sound technical knowledge covering investments, pensions, protection for High Net Worth Individuals, Trusts and Corporates including the underwriting process · Understanding of the FCA rules and regulations · Excellent IT Skills · Excellent written and verbal communication skills - Ability to prioritise tasks and work under pressure - Put the client at the forefront of everything we do - Honesty and loyalty Monday to Friday, with flexible work patten
