We are seeking a dedicated HR and GDPR Officer for a school in Benfleet to cover maternity leave until July. This role is crucial in managing our recruitment, HR processes, and ensuring compliance with GDPR regulations. To work 3 days per week - Tuesday, Wednesday, and Thursday.
Key Responsibilities:
Recruitment and Probation Management:
* Manage the recruitment process, including placing advertisements, responding to enquiries, and administering the shortlisting process.
* Arrange interview days and participate in the recruitment interview process as needed.
* Ensure all recruitment and HR paperwork is correctly uploaded to the HR system and filed in personnel files.
* Raise requests for references and medical clearance, alerting the Chief Financial Officer and Heads of Academies to any issues.
* Issue end of probation letters to staff who have successfully completed their probation period.
* Act on information from the Chief Financial Officer to set up new contracts or amend existing contracts.
* Maintain all records related to recruitment, induction, and probation, including archive material.
HR Administration:
* Produce and send personnel letters in a timely manner.
* Ensure all staff personnel records (including electronic files) are accurate, up-to-date, and confidential.
* Liaise with payroll over changes to staff pay and keep the HR system updated with staff personnel information.
* Record weekly absences on the HR system and raise any absence issues with the Chief Financial Officer.
* Compile weekly approved absence reports and send them to Heads of Academies.
* Monitor and manage staff medical certificates.
* Provide general administrative support as required.
* Check and input monthly unpaid staff absences on payroll.
* Maintain a Monthly Changes Spreadsheet detailing all changes to contracts, starters, leavers, and data changes, providing this to the Chief Financial Officer monthly.
* Maintain the single central register, including relevant pre-employment checks (Right to Work in the UK, DBS, overseas checks, and teacher prohibition).
* Maintain records of staff appraisals and ensure they are completed in a timely manner.
* Ensure staff leaver processes are followed, including the destruction of documentation (paper and electronic).
GDPR Duties:
* Advise school leaders and staff about their data obligations.
* Develop and update data protection policies and procedures, completing actions raised in relation to GDPR audits.
* Monitor who in the school has access to personal data.
* Advise when data protection impact assessments are needed.
* Answer data protection enquiries from staff, parents, and pupils.
* Ensure privacy notices are regularly reviewed and updated.
* Support and advise staff with data protection queries.
* Advise the governing board or trustees on data protection risks.
* Coordinate responses to information rights requests and subject access requests.
Essential Skills and Attributes:
* Good working knowledge and understanding of IT, including word-processing, spreadsheet, and database software.
* Experience with school payroll and HR procedures (desirable).
* Knowledge of GDPR rules and regulations (desirable).
* Good level of numeracy and literacy.
* Experience working in an educational setting (desirable).
* Good standard of education (essential).
* Safer Recruitment trained (desirable).
* Able to maintain confidentiality in all circumstances.
