Working alongside a full-time Head of Exams – Examinations Officer, this is a part-time, term time only+, and flexibility with working hours is an essential requirement of the role. During busy examination periods (primarily in January and May/June) there will be a requirement to work full time hours across approximately 50 working days, to accommodate early starts/late finishes on exam days as exams are not limited to standard working hours.
The position is responsible to:
* the head of examinations for all aspects of IB, GCE, (I)GCSE and other centre related examinations and office administration
* the deputy head (director of studies)
Roles & Responsibilities
* the examination administrator will act at all times in accordance with the examination regulations as set out by Awarding Organisations, JCQ and IBO for qualifications involving internal assessment and external examinations, and according to the policies of King’s College School for mocks and end of year assessments
* assist in the preparation, organisation, and administration of each exam cycle during the academic year to include, but not limited to:
o timetable preparation for internal and external examinations
o timetable distribution to pupils and publication to staff & parents
o venue booking for examinations
o liaison with IT, porters, site team, medical team, resources, book room, reception, and catering staff where services are required to support examinations
o liaison with Learning Enrichment regarding pupils with examination access arrangements and the facilitation of those
o communications with pupils and staff
o the creation and maintenance of resources, guides, materials, processes and systems relating to the organisation and administration of examinations and associated services
o recruitment, training and management of the invigilation team
o maintaining invigilator records
o invigilator availability, bookings allocation, and pay claims
o the use of awarding body websites for information purposes and access to their secure sites for examination materials and processes i.e. coursework marks, listening files, electronic exam papers, postage labels/despatch logs and any other mechanisms provided to support examinations
o results and post results services administration
* other duties commensurate with the role, as directed by the head of examinations or the deputy head (director of studies)
Person Specification:
The ideal candidate will be enthusiastic, reliable, have a positive attitude and an understanding of the pivotal role the examination system plays in school life. Strong organisational skills are essential, with a high level of attention to detail required, and excellent communication skills, both written and verbal, able to communicate effectively with a variety of stakeholders. Proficiency in IT is necessary, with a solid working knowledge of Microsoft Office Suites (Word, Excel, Outlook) - an advantage would be additional IT skills such as experience with exam-specific software or database management tools.
The candidate should be able to manage data efficiently and input information accurately. The ability to manage multiple tasks simultaneously, prioritise effectively, and meet tight deadlines is essential in this fast-paced environment. A high level of professionalism and confidentiality is expected as the role involves dealing with sensitive information, and the candidate should demonstrate a strong commitment to safeguarding and promoting the welfare of pupils at all times. The Exams Administrator will also need to be adaptable, able to handle unexpected situations, and offer solutions when issues arise, all whilst maintaining a calm and professional demeanour.

* keep updated on exam regulations and guidance provided by the JCQ and awarding bodies and complete any training required to support their role
