Job Specification: Maintenance Manager - Luxury Hospitality and Residential Properties

Salary: £55,000 - £70,000 per annum + bonus + benefits
Overview:

The Maintenance Manager will play a pivotal role in upholding these standards by ensuring the maintenance, safety, and operational excellence of all residential properties under their care.
Role and Responsibilities:
Property Maintenance and Standards
* Maintain all residential properties to the highest professional and practical standards.
* Schedule, document, and supervise regular inspections and maintenance of all property plant and equipment (including kitchen, electrical, mechanical systems, and internal building fabrics).
* Oversee interior and exterior maintenance tasks, ensuring work meets quality benchmarks and professional standards.
* Assist with the procurement of plant, equipment, and ancillary items for seasonal projects, including obtaining quotes, tenders, and proposals.
Health and Safety Compliance
* Ensure strict adherence to best practice Health and Safety processes and procedures by all contractors.
* Conduct risk assessments and ensure compliance with relevant regulations.
Vendor and Contractor Management
* Administer maintenance agreements and monitor the performance of maintenance companies.
* Procure and collate maintenance reports from contractors, making recommendations for amendments or replacements in cases of non-performance.
* Develop and manage a preferred contractor list for high-quality and timely resolution of unplanned maintenance.
* Negotiate, review, and tender annual maintenance contracts to ensure efficient and effective planned maintenance.
Reporting and Documentation
* Produce schedules of all purchases, retaining invoices and documentation, including warranties or guarantees.
* Submit detailed monthly reports on maintenance activities, preventative measures, and repair issues.
* Implement maintenance reporting systems to highlight risks, opportunities, and issues within the property portfolio.
Operational Coordination
* Liaise with house managers to agree and plan maintenance schedules, coordinating cleaning and protection of affected areas.
* Develop and share weekly schedules detailing planned maintenance and repair activities.
Emergency and Damage Resolution
* Be on call to resolve unplanned maintenance issues promptly.
* Investigate and report on property damage, including determining causes, recommending preventive actions, and ensuring timely repairs.
Key Skills and Attributes:
* Proven experience in property maintenance within luxury residential and hospitality sectors.
* Strong understanding of Health and Safety protocols and compliance.
* Excellent organizational and project management skills.
* Ability to manage contractors and negotiate service agreements effectively.
* Proficiency in maintenance reporting and documentation.
* Strong problem-solving skills and attention to detail.
* High degree of flexibility and availability to address urgent issues.
Qualifications:
* Relevant technical qualifications in property maintenance, engineering, or facilities management.
* Certifications in Health and Safety management (e.g., IOSH, NEBOSH) are highly desirable.
* Experience with luxury residential or hospitality properties is essential.
