The following are the core responsibilities of the Reception Manager. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels. The Reception Manager is responsible for:
1. Overseeing the administration and support operations of the reception, ensuring staff achieve their primary responsibilities.
2. Line managing all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training.
3. Completing staff appraisals as required.
4. Identifying and delivering team training where required.
5. Compiling reception staff rotas.
6. Reviewing and updating all reception policies and procedures as required.
7. Supporting the management team in the compilation of practice reports and the practice development plan.
8. Developing, implementing and embedding efficient reception processes and procedures to adhere to extant legislation.
9. Acting as a focal point for the practice managing requests from external organisations such as the local police, solicitors, DVLA and other agencies.
10. Coordinating the provision of temporary reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences.
11. Providing initial guidance and advice to patients who wish to verbally complain.
12. Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary.
13. Acting as building fire marshal, ensuring evacuation lists are current and that the visitors log is used appropriately.
14. Acting as main contact and manage all facilities in the practice including PAT, FRA, Lift maintenance.
15. Holding reception meetings biweekly.
Secondary responsibilities:
1. Deputise for the operations manager during periods of absence.
2. Partake in audit as directed by the audit lead.
3. Coordinate and produce meeting agendas and record the minutes of meetings including clinical.
4. Assist with QOF targets.
5. Complete additional tasks when asked by management.
6. Assist with GP trainee inductions and documentation.
