Job Purpose:
Our client is seeking a professional and dedicated individual to provide contract and reception support as part of a maternity cover. The successful candidate will support the contract and the wider business team, ensuring all documents and spreadsheets are managed promptly to maintain audit compliance. This role involves providing reception support as needed, particularly during holidays, sickness, and lunch breaks, enhancing business-working practices and creating a comfortable and efficient working environment.
Key Responsibilities:
1. Create work orders through Maximo, allocate to engineers PDAs, and update jobs upon completion.
2. Develop and maintain excellent relationships and effective communication within the management team on site.
3. Ensure contract folders are up-to-date with current risk assessments, method statements, public liability insurance, health & safety policies, plant & equipment certification, training & competency matrix, COSHH assessments, waste licenses, and organization chart.
4. Keep all site risk assessments up to date, update the risk assessments matrix on the shared drive, and file hard copies.
5. Arrange in-house and external training as required.
6. Update training matrix & QSHE spreadsheets in the shared drive and file all training certificates.
7. Maintain updated IMS folders.
8. Order uniform/PPE, stationery, and office supplies as needed.
9. Check and replenish first aid kits accordingly.
10. Maintain organized filing systems.
11. Provide reception cover and support other areas of the admin team as required.
12. Perform any other tasks as requested by the Office Manager and the Senior Management Team.
Knowledge, Skills & Experience:
1. Proficient in MS Office applications.
2. Previous experience with Maximo/CAFM system.
3. Excellent communication and interpersonal skills.
4. Good time management skills.
5. Flexibility to adapt to changing demands and conditions.
6. Demonstrates readiness to make decisions, take the initiative, and originate action.
7. Shows awareness of goals and standards, ensuring high quality and productivity.
