Legal PA / Secretary
Private Client
Salary: £28,000 - £35,000
To work for a team of four Private Client solicitors/fee earners in conjunction with two other part-time secretaries.
Responsibilities:
1. Prepare correspondence and documents through audio-typing and word processing.
2. Administer filing, including daily filing and the opening, closing, storage, and retrieval of client files in accordance with the office manual.
3. Prepare mail and enclosures for dispatch.
4. Arrange for all copying to be done, in person if an Office Assistant is not available.
5. Make appointments, arrange meetings, and maintain an up-to-date diary for fee earners.
6. Prepare the conference room for meetings and tidy the room at the end of meetings.
7. Provide refreshments when asked.
8. Support other secretaries as required.
9. Guide junior and temporary secretaries when needed.
10. Attend to clients both in person and on the telephone, providing support in a professional and friendly manner.
11. Undertake specific training as required and maintain a responsibility towards self-development.
12. Ensure confidentiality of all Firm’s and clients’ documentation and information.
13. Undertake online form filling requirements.
14. Operate the firm’s case management system.
15. Maintain or improve current standards of document presentation.
16. Consider improvements to the efficiency of the department.
17. Undertake other duties as required.

Person Specification:
Qualifications:
Good general level of education and fast touch-typing skills.
Essential Skills and Attributes:
1. Substantial previous legal secretarial experience, including at least 2 years’ experience in the specialist area.
2. Advanced IT skills in relevant packages.
3. Ability to keep up with fee earner’s work production.
4. High accuracy levels.
5. Professional communication with clients both on the telephone and in person.
6. Good customer care.
7. Pro-active approach to work and clients.
8. Ability to progress client matters without supervision in the absence of fee-earners.
9. Willingness to take on additional tasks.
10. Ability to work to deadlines and cope under pressure.
11. Use initiative and prioritize workloads effectively.
12. Work as part of a team.
13. Demonstrate commitment to the firm and a genuine interest in legal work.
14. Good attendance record year on year.
15. Positive attitude.
Desirable Skills:
1. Prior knowledge of Practice Evolve, Aim/AXXIA, or other case management systems.
2. Knowledge of law/legal practice.
3. Prior knowledge of Isokon probate software is desirable but not essential.
