The Role Wessex Internet Ltd have a new opportunity for a well organised, motivated and professional Executive Assistant (EA) to support our Director of Infrastructure. Leading the Network Build area of the business, which is undergoing a significant period of growth, the EA will provide one on one administrative and communications support to maximise management bandwidth and facilitate prioritisation of key focus areas, responsibilities and tasks. The successful candidate will have very strong organisation skills, proven ability to build relationships and communicate effectively with senior leaders. Your role will be to ensure that the Director of Infrastructure’s day to day working life at Wessex Internet Ltd. runs as smoothly as possible whilst extending to certain personal administrative responsibilities also. Key Responsibilities Manage the diary of the Director of Infrastructure, including arranging meetings, anticipating requirements, and preparing/checking/circulating materials in advance where necessary Manage the Inbox and mail on behalf of the Director of Infrastructure, using judgement to prioritise, redirect or take proactive action to escalate matters that require attention Main point of contact (on behalf of the Director of Infrastructure), for all queries from across the business. As part of that, to highlight and feedback any overlooked personnel and flag issues that are of paramount importance Build and maintain effective working relationships with the Director Of Infrastructure’s key contacts, along with senior leaders and their teams across the organisation. Assist in the efficient and effective operation of the department, supporting each of the managers and teams in the delivery of process and procedure updates. Produce professional documentation, create presentations and prepare reports and minutes to the required deadlines in support of the Director of Infrastructure’s office. Compiling and distributing agendas, pre-read papers, ensuring all participants have suitable notice to submit items as required Be the first point of contact for enquiries on behalf of the Director of Infrastructure, screening calls and responding to queries directly. Attend meetings taking minutes, summarising key points and actions and following through on the ownership of those Support the Director of Infrastructure on personal administrative tasks Asist the Director of Infrastructure in the project management of facilities improvement projects as required Skill Requirements Strong organisational skills with the ability to manage multiple tasks and meet deadlines. Have excellent planning skills, with strong attention to detail and a high degree of accuracy in delivery of work. Able to predict needs, prioritise and exercise judgement and discretion, suggesting appropriate options when obstacles appear and acting autonomously. Strong people and influencing skills with the ability to build positive relationships across all levels of the business. An expert working knowledge of Microsoft Office including Outlook, PowerPoint, Word and Excel. Proficiency at learning and adapting to new software programs and requirements. Prior knowledge of Salesforce helpful but not essential. Ability to manage your own workload as well as helping to prioritise those of others. Proven track record of exercising extreme discretion Proven ability in supporting a positive work culture and radiating Wessex Internet Ltd. values. Experience working in a fast-paced dynamic environment with the ability to work well under pressure. Experience working in commercially sensitive environments, exercising discretion and dealing with confidential information. Previous experience in a senior PA/ EA role preferred though alternative career paths considered for the right candidate. Due to the nature of the role, we are looking for someone to be onsite at least 4 days per week.
