Team & Position Description: As the Amazon Operations Coordinator, you will work as part of a collaborative Amazon team, ensuring seamless operational execution and compliance with Amazon's requirements for Learning Resources within the UK and EU markets. Reporting to the Head of Amazon you will manage and oversee daily operations using Amazon's Vendor Central platform & Microsoft D365. These include processing orders timely and accurately, proactively managing chargeback disputes, maintaining strong communication/relationships with our Amazon Brand Specialist and our 3PL warehouse, analysing operational data to identify and resolve issues, and collaborating with cross-functional teams to optimise performance and compliance with Amazon's policies and standards. What you will do day to day (responsibilities): Order management: Process and manage purchase orders through EDI using Microsoft D365 & Amazon Vendor Central to ensure timely and accurate order fulfilment. Monitor and resolve order discrepancies or issues promptly. Data analysis and reporting: Use Microsoft Power BI to create detailed reports & dashboards Analyse data related to order performance, chargebacks and operational KPI’s. Chargeback recovery: Review, analyse, and dispute chargebacks to minimise financial losses, maintaining detailed records of all disputes and outcomes. Tracking shipments: Track the status of deliveries to ensure on-time performance and compliance with Amazon’s requirements. Amazon Vine enrolment: Manage product enrolment in the Amazon Vine program, in collaboration with the Amazon team, ensuring compliance with program guidelines to drive customer reviews and product visibility. 3PL communication: Coordinate with our third-party logistics (3PL) provider to streamline shipment accuracy, and timely deliveries. US counterpart & demand planning collaboration: Work closely with LRUS counterparts and the demand planning team to maximise stock availability for Amazon and process improvement. What we are looking for (Key Performance Objectives): Optimal stock flow: Maintain inventory levels with an out-of-stock rate of Work with our 3PL to achieve VLT improvement: Achieve a 20% improvement in Vendor Lead Time (VLT) within the first 6 months by collaborating with 3PL partners to streamline shipping processes and improve delivery reliability. Process improvement: Identify and implement at least two process improvements per quarter, reducing operational costs and/or time spent on manual tasks. Direct Import: Work with the Head of Amazon & the purchasing team to successfully scale & execute our Direct Import program. Power BI: Develop and maintain Power BI dashboards to analyse key operational metrics (e.g., order management, chargebacks, VLT & stock KPI’s) and provide actionable insights to the team & leadership. Requirements/Ideal Attributes: Strong analytical skills: Proficiency in data analysis and using Microsoft Excel. D365 & Power BI training will be provided. Ability to analyse trends, identify opportunities for improvement, and provide actionable insights. Supply chain knowledge: Basic foundational knowledge of how the supply chain works, full training will be provided. Continuous improvement mindset: With experience identifying process inefficiencies and implementing solutions that drive measurable results. Communication and teamwork: Excellent communication skills, both written and verbal, with the ability to collaborate effectively with internal teams and external partners. A proactive team player who thrives in a fast-paced, dynamic environment. Attention to detail: High level of accuracy and attention to detail required. For example, when processing orders, and reporting performance and measures. Results-driven and goal-oriented: A focus on achieving measurable results, with a track record of meeting or exceeding operational goals and KPIs. Experience working with Amazon is ideal but not required.
