Key Tasks/Accountabilities
1. Work with the IS Department Senior Management Team (ISSMT) to develop, construct and execute a technical vendor management process, reporting, analysis, and insight.
2. Work closely with key suppliers to build strategic relationships with those key suppliers - based on delivered value that serves the Caravan and Motorhome Club and the IS Department over the medium and long term.
3. Work closely with stakeholders to support all aspects of technical commercial contracts, expenditure, supplier performance, analytics, and reporting.
4. Create and own a regular suite of vendor performance reporting for the ISSMT and wider business stakeholders.
5. Be an expert in the construction, use and analysis of vendor process, and supplier relationships.
6. Troubleshoot vendor issues such as purchase orders, delivery schedules, technical documentation, product queries, pricing models, SLAs, and contractual obligations.
7. Educate and train the IS Department in vendor process, best practice, and capabilities, driving a self-serve culture across all organisational levels.
8. Ensure that supplier/vendor orders are processed and managed effectively both internally and by the vendor, that contracts, delivery requirements are adhered to and comply with best practice and that we proactively manage problems, delays, errors, and other supply chain issues.
9. Work with the IS Department Service Delivery team to ensure timely and accurate billing & close supplier management.
10. Ensure monthly deadlines are met.
11. Manage external vendor audits, particularly with regard to data security arrangements.
12. Contribute to the continuous improvement of systems & processes.
13. Ensure supplier contracts, reports and insight are kept up to date and input into the IS Department's systems.
14. Drive value from each supplier account.
15. Reconcile time and track resource to ensure it stays within agreed timelines.
16. Assist with Scopes of Work / RFI / RFP as required.
17. Provide support on proposals and contract reviews.
Essential Skills & Experience Required
1. Demonstrated experience of working in a vendor management role within a technology setting.
2. Excellent analytical mindset with broad commercial acumen and thought leadership, to generate meaningful, actionable insights on performance.
3. Advanced office automation tools (e.g. Excel, Word, MS Project) and general business IT skills.
4. Skilled in the use of respected analytical tools and the creation of new processes.
5. Experience of effectively analysing problems and data, paying high attention to detail, and presenting solutions and information in a meaningful way to a diverse range of audiences.
6. High levels of resilience with ability to take input and direction to run with a task, working on own initiative.
7. Demonstrable experience working as part of a strategic leadership team, being a strong voice for technology activities and prioritisation in a mixed commercial, product and engineering ensemble.
8. Successful track-record influencing and earning the respect of high-calibre product and technical specialists, strong stakeholder management across all levels in the organisation.
9. Experience with a wide range of project delivery methodologies.
10. A track-record reviewing processes with a view to improving performance and techniques in relation to vendor management.
11. Experience negotiating Service Agreements and contracts.
