Salary Range: £25,000 - £38,500 / annum Role Overview: The Business Administrator will play a critical role in organising and coordinating administrative functions across Clean Planet Group, ensuring efficient operations, communication, and record-keeping. This position requires a highly organised, proactive individual capable of managing diverse tasks, maintaining global systems, and providing high-level support to leadership. Key Responsibilities: Intranet Management: Create, maintain, and update the global intranet platform to ensure all employees have access to current business resources. Organise and centralise business files, processes, and procedures on the global intranet for easy access and use. Administrative Coordination: Serve as the first point of contact for business administration inquiries and coordinate responses as required. Manage business correspondence, including drafting, reviewing, and disseminating documents and communications. Meeting and Event Support: Perform accurate and comprehensive minute-taking for high-level meetings, ensuring all actionable items are tracked to completion. Schedule and coordinate meetings across multiple time zones, ensuring all participants are informed and prepared. Provide support during town halls, including preparing presentations, coordinating logistics, and ensuring adherence to timetables. Travel and Logistics: Arrange travel for executives and team members, including flights, accommodations, and transportation. Coordinate conference and event bookings, ensuring all details are managed seamlessly. Organisational & Quality Management: Manage business documentation, correspondence and processes to maximise operational efficiency Identify and implement enhancements to administrative systems and workflows. Advantage (but not mandatory): Implement and maintain Quality Management Systems in line with ISO standards General Administration: Manage ad hoc administrative requests from leadership and departments. Act as the point of contact for various administrative needs across the organisation, ensuring a timely and effective response. Required Skills & Qualifications: Technical Proficiency: Advanced proficiency in Microsoft Office Suite, especially Sharepoint, but also Word, Excel, PowerPoint and Outlook. Organisational Skills: Exceptional attention to detail with the ability to prioritise and manage multiple tasks efficiently. Proven experience in maintaining accurate and organised systems for files and procedures. Communication Skills: Excellent verbal and written English communication skills, with the ability to draft professional correspondence and presentations. Comfortable interacting with leadership, team members, and external stakeholders. Adaptability and Problem-Solving: Proactive in identifying issues and implementing effective solutions. Flexible and resourceful in managing shifting priorities and diverse tasks. Desired Attributes: Highly meticulous and thorough in execution. Strong interpersonal skills with a collaborative and approachable attitude. A no-nonsense approach to work, ensuring tasks are completed efficiently and effectively. Willingness to take on both high-level and basic tasks as needed. Experience: Minimum 3 years in a similar administrative role, preferably within a global or fast-paced environment. Proven experience supporting executive-level management is highly desirable. Working Hours and Environment: Remote work with need to travel from time to time, primarily to the Clean Planet Group’s headquarters (United Kingdom). Occasional wider travel may be required to support business operations or events.
