This is an outstanding opportunity to support a globally renowned classical music artist. As a Personal Assistant, you will work closely with both the artist and their management team, assisting across administrative tasks, social media, brand endorsements, and personal support.
The ideal candidate is highly organised, detail-oriented, and an excellent communicator. The artist is based in New York and travels frequently, so flexibility to work across time zones is essential. The role also involves regular international travel, including accompanying the artist to engagements and trips to New York every 4–8 weeks. A valid passport is required. If you are not a US citizen, a background check will be conducted.
Key Responsibilities:
* Manage and prioritise incoming emails, responding with professionalism and discretion.
* Maintain and update calendars; schedule meetings and appointments.
* Oversee all logistics for concert tours, including creating itineraries and coordinating rehearsals, travel, hotels, and visas.
* Travel with the artist as needed, liaising with event organisers, arranging dressing rooms, retrieving meals, and handling belongings.
* Maintain the client management system with financial and travel details, including personal preferences.
* Track payments and commissions; liaise with finance to ensure timely processing.
* Update and maintain publicity materials; liaise with brand partners; organise and accurately file footage and photos.
* Screen and direct social media DMs, emails, texts, and calls; distribute correspondence appropriately.
* Act as first point of contact for social media and creative teams; assist in managing content schedules.
* Build and maintain strong professional relationships with internal and external stakeholders.
* Arrange and manage personal appointments.
* Oversee and support the maintenance of the artist’s home affairs.
* Perform additional duties as required by the artist and/or management.
Requirements:
* Experience in classical music management or a related field is highly desirable.
* Proven background as an Executive Assistant or in a similar administrative support role.
* Experience working with brand partners is an advantage.
* Exceptional organisational skills with the ability to multitask and meet tight deadlines.
* Strong attention to detail and a proactive approach to problem-solving.
* Excellent verbal and written communication skills.
* Discretion and professionalism in handling sensitive information.
* Flexibility with working hours and ability to thrive in a dynamic, fast-paced environment.
* A genuine passion for classical music and familiarity with the industry.
* Willingness and ability to travel globally.
* Proficiency in Microsoft Office and social media platforms (Instagram, Facebook, TikTok, YouTube).
* Self-motivated team player with a positive, calm, and resilient attitude.
