JOB DESCRIPTION
Job Title: Sales Administrator
Reporting To: Senior Sales Administrator
Role Overview:
As a Sales Administrator, you will assist the Senior Sales Administrator with sales order processing, despatch and logistics coordination, delivery reporting, and customer record maintenance.
Summary of Main Responsibilities:
* Customer Account Management: Set up accounts, agree on credit terms with the Assistant Accountant/Financial Controller, and ensure accurate details are updated in DeFacto.
* Order Processing & Dispatch: Process orders, arrange despatch and invoicing, manage van sales deliveries, and coordinate stock replenishment.
* Liaison with Warehouse & Logistics: Work closely with the Warehouse Team and liaise with haulage companies to ensure timely and complete order dispatch.
* Customer Service Excellence: Maintain proactive communication to support order fulfilment and manage customer queries, including credit control and payment follow-ups.
* Sales Reporting: Prepare month-end sales reports and aged debt analyses.
* Records Maintenance: Organize and index sales order and delivery notes for audit purposes.
* Reception & Support Duties: Provide reception cover and handle general inquiries as needed.
Qualifications:
* Minimum GCSE Grade C in Maths and English (or equivalent)
Experience:
* Proven experience in Sales Administration
* Familiarity with credit control processes
* Experience within FMCG admin/sales admin department (desirable)
Skills & Competencies:
* Strong communication and customer-focused approach
* High proficiency in Microsoft Office
* Detail-oriented with excellent organizational skills
* Team player with a proactive, self-motivated attitude
* Flexibility regarding working hours
