Office Manager Location: Northampton Job Type: Full-time We are seeking an Office Manager to oversee the management and administration of our office in Northampton. The successful candidate will be self-motivated, capable of working independently, and committed to maintaining high standards across all aspects of operations. This role requires a hands-on approach and strong leadership skills, with the ability to manage staff, and stakeholder relationships effectively. Day-to-day of the role: Office Management & Administration: Manage the office, ensuring availability throughout office hours (9:00 am – 5:00 pm). Coordinate schedules and workloads Liaise with the Board of Directors, preparing for and attending budget, board, and general meetings. Prepare monthly reports for directors and draft and distribute quarterly newsletters. Maintain accurate records of invoices, accounts, and payroll using Sage software. Operational Management: Oversee the daily activities of site staff, coordinate work breaks, and ensure effective communication regarding tasks. Organise maintenance and repair works for communal properties, buildings, and grounds. Order supplies for in-house maintenance and decoration projects. Liaise with local council to resolve issues such as missed bin collections or other municipal concerns. Compliance: Conduct regular site inspections to ensure compliance with Health & Safety regulations and statutory requirements. Manage insurance claims and Capital Expenditure (CAPEX) major works projects, ensuring quality and budget compliance. Customer Service & Stakeholder Engagement: Act as the primary point of contact, addressing issues promptly. Build and maintain strong relationships with stakeholders. Promote a unified, collaborative community environment. Leadership & Team Development: Lead, support, and inspire the team, ensuring a positive and productive work environment. Develop staffing strategies, oversee recruitment, and implement onboarding and training programs. Required Skills & Qualifications: Exceptional organisational and communication skills, with attention to detail. Ability to manage and develop staff, addressing employment-related issues when necessary. Strong customer service focus with a proactive, hands-on approach.
