The opportunity
This role in critical in ensuring the seamless processing of HR administration relating to time-off requests and managing a team effectively to ensure the delivery of high-quality HR services in line with the firm’s policies and procedures.
You will have the opportunity to cultivate professional working relationships with key Talent stakeholders including Employee Relations and other operational contacts. You will be required to ensure that our administration processes are effective and adapt these to policy and legislation changes.
You should be committed to your own personal development through completion of appropriate learning, and the development of the team by identifying potential process improvements. You will also have the opportunity to contribute to wider Talent Shared Services and HR projects and initiatives.
Your key responsibilities
1. Effective leadership and management of the Time Off team, ensuring efficient processing of all time off activity including various family leaves, unpaid leave, and sickness absence.
2. Ensure the team are adequately resourced to meet KPIs, SLAs and payroll processing requirements.
3. Act as a subject matter expert for time off processes, being the point of escalation for both the team and key stakeholders.
4. Develop and review administration processes to ensure they are efficient, robust, and effective, highlighting service level and risk issues to Senior Manager and/or key stakeholders.
5. Provide effective resource planning to manage peaks in work volume effectively.
6. Ensure new team members are fully trained as part of the team induction process, identify potential process improvements, and commit to the personal development of individuals as well as the team.
7. Explore the use of different technology to enhance the administration delivery and provide key data/dashboards for leadership purposes.
8. Develop and maintain strong day to day relationships with key internal Talent stakeholders including Employee Relations and other operational contacts.
9. Resolve complex queries escalated by the team or by the business to ensure satisfactory closure of issues.
10. Conduct and support payroll auditing, spot checks and ensure compliance with the firm’s policies, best HR practices, and employment legislation.
11. Contribute to wider Talent Shared Services, HR projects and initiatives.

Skills and attributes for success
We are looking for someone with previous administration experience, ideally within a service delivery environment, including:
13. Strong leadership, planning and organisational skills with ability to manage and develop a team in a high-volume environment.
14. Able to demonstrate initiative and vision and identify opportunities for process improvement as well as process design.
15. Excellent communication skills and client service skills.
16. Ability to work to and enhance prescribed HR procedures with a focus on accuracy and quality and identifying potential risk.
17. Knowledge of operational HR systems and proficiency with HR-related technology including ServiceNow.
18. Develop a deep understanding of Leave of Absence policies and supporting legislation.
19. Respond to, manage, and resolve issues raised by key stakeholders and Senior Managers within TSS, recommending solutions.
To qualify for the role, you must have:
20. Excellent communication and interpersonal skills with an ability to influence and manage stakeholder relationships and adapt to change.
21. An ability to work to and enhance prescribed HR procedures.
22. Attention to detail and a focus on accuracy and quality.
23. Be able to work under pressure, support the team to prioritise workload and troubleshoot issues.
24. Strong organisational skills with an ability to deliver to deadlines and priories effectively.
25. Knowledge of Leave of Absence administration.
26. Strong Excel skills.
Ideally, you will also have:
Experience of working within a shared services centre environment.
