What we are looking for We are currently seeking a Client Services Administrator to join our team of Administrators (Client Services), based in our offices at the racecourse in Ascot, to support the delivery of Royal Ascot 2025. A crucial and important team to enable us to deliver excellence in service to our Royal Enclosure Members. The Client Services Administrator will be responsible for providing administrative support for the planning and execution of Royal Ascot. This role is pivotal in ensuring the support of our Royal Enclosure Members, and VIP stakeholders, in all aspects of customer service, and administrative organisation, from the early planning stages through to delivering the highly prestigious Royal Ascot, at the iconic Ascot Racecourse. Ideal for an individual who is passionate about excellence in customer service, creating memorable experiences, working on a world renowned iconic British event, and are eager to develop their skills in a supportive and team-orientated environment. This will be a temporary role from from mid April to mid June 2025. Key Responsibilities: Administrative Support: Manage event-related correspondence to support Members with their bookings, including emails, phone calls, and postal mail, in a timely and courteous manner Maintain and update event databases, ensuring accurate and timely information Liaise with stakeholders and high net worth individuals, including VIP guests, sponsors, and corporate clients, ensuring their needs are met Some specialised roles within the team will focus on the administration of new members, and restaurant administration Customer Service: Support Members and Stakeholders in making bookings to attend Royal Ascot Provide excellent customer service to event attendees, responding to inquiries, providing additional information about enhanced experiences, and resolving any issues promptly Manage on-site badge and ticket fulfilment, troubleshooting, and guest services during Royal Ascot Qualifications: Excellent communication and interpersonal skills, both written and verbal Strong organisational and multitasking skills, with attention to detail Proficiency in Microsoft Office (Word, Excel) and using databases Personal Attributes: A proactive and positive attitude, with a passion for delivering excellence at the highest level Ability to work independently as well as part of a team Discretion and professionalism, especially when dealing with high-profile guests, VIPs and sensitive information Maintain The Ascot Way and act as a role model through demonstrating the values: Elegance, Uplifting, Original Work Environment: Based in an open office environment at Ascot Racecourse Office hours are usually Monday to Friday 9am – 5pm, will require flexibility to work on-site during the week of Royal Ascot (17– 21 June 2025) Job-share/part time roles available What sets us apart from the rest We take pride in our commitments to make a positive change for now and future generations to come, whether through our Diversity and Inclusion strategy and training programmes, our award-winning ‘Racing To Zero’ sustainability actions, or our forward thinking employee benefits including flexible working and menopause policies, as well as health and EAP support access.
