Executive Assistant / PA Clinical Partners is currently looking to recruit to a newly created role within our organisation. The Executive assistant will play a critical role in providing comprehensive administrative and operational support to the CEO and senior leadership team across our business. This role requires a highly organised, detail-orientated and adaptable individual with exceptional communication skills and the ability to manage multiple tasks while maintaining confidentiality. The Executive assistant will play a key role in enabling the effective operation of Clinical Partners by assisting in strategic planning, project management, and general administrative duties. The role is hybrid, offering flexibility to work both from home and the office, with regular travel to our offices in London for SLT and Board meetings, and occasional travel to our offices in Semley. Key Responsibilities: Provide high-level administrative support to the CEO and SLT including drafting, editing and proof-reading documents, diary management, and email management. Schedule internal and external meetings, including forward planning, setting of agendas and invitations, and taking and circulating minutes to relevant parties. Gathering and summarising information for the executive. This could involve research, data analysis, and creating reports. Where necessary, act as a point of contact for CEO communications, using own judgement to determine action necessary. Proactively ensure the CEO and SLT are prepared for engagements including commissioning/co-ordinating papers/briefings, working with others to ensure the right information is available in good time. Summaries of documents or short presentations may also be required. Managing and administering meetings and visits, including conference calls, interviews, conferences, etc Creation and distribution of Board packs, other meeting documentation and meeting agendas in advance of Board and other key meetings. Coordinate travel arrangements, including accommodation and transportation. Requirements: Demonstrable and proven experience as an Executive Assistant, preferably within a fast-paced or scale up environment Experience in minute-taking at Board level. Demonstrable understanding and experience of the governance surrounding Board and SLT meetings. Proven ability to handle highly confidential information with integrity and professionalism. Capable of reacting swiftly to changing priorities and objectives, maintaining focus and efficiency. Excellent planning and organisational skills with the ability to prioritise multiple tasks. Strong relationship-building skills and the ability to interact confidently with individuals at all levels, both internally and externally Meticulous in ensuring accuracy and compliance in all tasks. High level of integrity and discretion in handling confidential information Excellent organisational and multitasking skills with a high level of attention to detail.
