Job Description Business Administrator - Submarines Full Time Derby An exciting opportunity has arisen for a Business Administrator to join Rolls-Royce Submarines. The Administration Support will report directly to the Site Integration & Sustainability Manager within the SSLA Organisation, predominately providing support to this area but also providing administration support across the SSLA senior management team as required in a variety of areas and disciplines. This role will have frequent and direct contact with Director SSLA and work closely with the Director SSLA Secretary. The role will act as SSLA Secretary when the permanent Secretary is absent. Other key activities will be to act as the Computer Security Representative for the area, manage procurement through Coupa and organising management events. What you will be doing: You will manage diaries for primary managers, including arranging meetings, using a high level of judgement to manage time and prioritise arrangements. Ensure all resources are in place for meetings, and materials are circulated in advance if necessary. You will provide administrative support to managers on relevant systems, for example, absence management, expense processing, time booking in both SAP and Workday and training reminders and support in Leatro ensuring compliance at the highest level. You will produce documentation for primary managers, including typing letters and minutes, creating presentations and preparing highlights reports, ensuring deadlines are met. You will organise Communications briefs and co-ordinate materials. Organise on-site and off-site events for the Senior and whole management events, booking venues, catering, travel arrangements and managing event materials and production of these. You will be willing and able to learn new standards and techniques and contribute to the development of the whole team by showing a level of flexibility to support and deal with emergent issues through the appropriate prioritisation of activities including a willingness to go that extra mile to deliver. You will be able to operate with minimal supervision and be able to demonstrate knowledge of their boundaries of responsibility and to take responsibility for their contribution to team effort in achieving the overall Objectives, more specific improvement initiatives and in general administration. To be successful in this role you will need to hold the following: Excellent use of MS Excel including VBA and ability to demonstrate recent day to day use to a high level of competence and the ability to understand and present data clearly and unambiguously. Professionalism and ability to communicate with authority and build rapport at all levels within the Submarines business Experience in secretariat or administration roles Experience in working on their own with limited supervision and taking responsibility for the delivery of own work and inputs of others.
