The Supply Chain Co-Ordinator reports directly to the Operations Manager with a dotted line to the Transport & Production Managers. The Supply Chain Co-ordinator is responsible for maintaining the Financial administration for the department in a timely, controlled, and structured manner, as well as supporting transport admin tasks in line with transport legislation and compliance.
Purpose of the Job
* P2P - Raise purchase orders, and receipt them against work completed.
* Reporting OTIF results, managing actions to resolve issues.
* Maintaining tier accountability info on a daily basis.
* Managing booking of meeting room/pods.
* Manage and purchase relevant stationery/office consumables.
* Weekly report site PO’s raised and receipted by function.
* Complete monthly SMR reports.
* Report KPI trends info, and publish graphs monthly.
* Manage and control pool car & car hire for site.
* Complete paperwork for expenses.
* Collect and check all drivers weekly pre-trip check sheets and cleaning records. If correct, file them in designated folder; if not correct, approach said driver for rectification, repeat offenders to be reported to ATM.
* Compile and complete checks of vehicles serviced using relevant checklist. If documentation is missing, liaise with relevant service provider to get all paperwork within a 24-hour period.
* Complete Flexipod compliance, guide and coach daily issues direct with the individual, escalate any repeat offenders to ATM.
* Report Daily VOR to fleet team.
* Daily reporting of vehicle utilization in TUS.
* Populate daily the tier accountability boards for both logistics and Production.
* Print overtime sheets monthly for the drivers to complete.
Key Accountabilities
* Strong organizational and multitasking abilities.

* Proficient in transportation management software and Microsoft Office Suite.
* Office environment with occasional travel to other sites.
* May require working outside normal business hours to manage urgent issues.
Finance
* Achieve Cost per tonne in line with target.
* Actively participate in the formulation of budgets and management thereafter demonstrating proactive cost control.
* Understand how to use the company systems such as SAP, TUS, and Fleetboard to manage KPIs.
Operations
* Assist the Transport Planner with planning for holiday cover/sickness.
* Assist the production planners with holiday cover/sickness.
* Ensure access to reliable communication tools (e.g., phone, email, messaging apps) to facilitate real-time updates and coordination with drivers, suppliers, and clients.
* Clear documentation of processes and protocols for transportation management.
