We are seeking an enthusiastic, professional, and highly organised individual to join our team as an Administration Officer. This is a pivotal role responsible for ensuring the smooth and efficient operation of our school office and acting as the first point of contact for staff, students, parents, and visitors.
As the Administration Officer, you will be the cornerstone of our school's administrative team, taking responsibility for a wide range of tasks to ensure the effective running of our school office. The successful candidate will need to lead by example, line manage an Administration Assistant, and be proficient in all office-based Information Management Systems (SIMS) and personnel matters.
Key Responsibilities:
1. First point of contact: Provide a friendly, welcoming, and professional service to staff, parents, students, and external visitors.
2. Administrative and Organisational Support: Provide key administrative services to support the school’s day-to-day operations, ensuring all office systems run smoothly.
3. Liaison: Maintain effective communication with staff, parents, and external agencies, ensuring information is distributed clearly and promptly.
4. Census and Returns: Collate, complete, and submit the school Census and other statutory forms and returns, ensuring compliance with regulations.
5. Absence Management: Monitor and record pupil and staff absence data, ensuring that this is accurately updated and managed.
6. Reports and Documentation: Prepare reports for various authorities, as well as word process school policies and curriculum documents.
7. Recruitment Support: Assist in recruitment processes, ensuring that job advertisements, interviews, and selection processes are managed effectively.
8. Confidentiality and Safeguarding: Understand and adhere to the importance of confidentiality, ensuring that all information remains private and secure. Maintain a high standard of safeguarding, ensuring the welfare of students, staff, and visitors at all times.
9. GDPR Compliance: Ensure all administrative processes comply with GDPR guidelines.
10. Financial Record Management: Process, maintain, and monitor financial records relating to expenditure and income, including processing invoices (school and nursery). This includes managing headcount data, estimates, and actuals for budgeting and financial reporting purposes.

The position is term time only; however, 40 weeks per year to allow for end of year closedown. We have some flexibility with timings within the hours of 8:30 - 4:00.
