The difference you will make as a Strategy & Communication Team Administrator To support the Strategy and Communications team in the delivery of a wide range of tasks including supporting the Director of Communications & Strategy with administration tasks. You will work with external suppliers, supporting senior team members in all aspects of purchasing and financial reconciliation as well as helping to maintain the team’s digital asset management system. Role Profile Support the Director of Strategy and Communications by arranging, and minuting formal team meetings, and other meetings connected with the team’s work, ensuring meetings are well planned, organised actions are tracked and updated. Assist the Director of Strategy and Communications with administrative tasks including booking travel arrangements, conferences and supporting with diary management. Assist other heads of service and wider colleagues in the department with travel arrangements and conferences as required. Keep our SLT task managing tracker up to date and ensure that heads of service and managers are keeping their tasks updated. Maintain the department SharePoint site and our RIC page. Manage the MS teams’ channel and update with important documentation, information and resources, directed by yourself, the director and other heads of service. Assist in the planning and organisation of stakeholder meetings, including the annual stakeholder conference and Board briefing events, ensuring all events are professionally run and achieve their objectives. Ensure the correct system infrastructure (links, licenses etc.) is in place to allow colleagues to have appropriate access to external data and intelligence. Working closely with all heads of service to manage and maintain the financial processing across the department. Tasks include obtaining price quotes, raising purchase orders, credit card reconciliation, administering recharges to other directorates for services procured by the team and onboarding new suppliers as required. Support the team with general administrations tasks such as ordering stationary, producing reports, creating PowerPoint presentations and other tasks as required by the Director of Strategy and Communications. Process purchase orders and invoices using in accordance with the Group’s procedures and systems. Respond flexibly to any necessary changes in work priorities and undertake other duties when required to support the effective operation of the service. Support with ad hoc requests and projects.
