About this role: Part of a small team based on site, responsible for assisting in the delivery of the property management service to a portfolio of 8 residential buildings currently, which will increase to 13 residential buildings by the start of 2026. With a commercial element on ground floor level and amenity spaces, providing administrative support to the Property Manager and Portfolio Manager.
Person Specification: We are looking for someone with strong organisational skills, a proactive approach, and a genuine interest in property management. Experience in residential property management or a similar field would be highly beneficial.

Roles and Responsibilities:
Day to Day Duties:
* Being the initial point of contact for any simple queries responding in a timely and professional manner.
* Manage emails, portal and noticeboard announcements, process POs and invoices from start to finish.
* Proactive liaison with RMG back-office support teams/departments.
* Taking ownership of cases and ensuring you follow through up to completion.
* Gradually build experience and knowledge of all tenures to be able to deal with more complicated queries and provide more support to the team.
* When necessary, obtain quotes for contract maintenance to ensure prompt appointment and follow up until the issue has been resolved and the contractor paid.
* To work in accordance with the RICs code of conduct, ARMA, IRPM and any other governing bodies within the industry.
* To be proactive in the role at all times, using initiative to improve working practices and to manage time effectively.
* Strive to exceed expectations at all times.
* Seek to identify areas where customer service can be improved.
* Liaise with other departments to ensure service standards are met every time.
* Following review of annual HS and FRA to work with the PM and Estate Manager on the best way to action any issues raised or areas of concern.
* Ensure service standards are adhered to and make suggestions to improve service.
* Actively take part in team meetings.
* Overall assistance/co-ordination of ad hoc activities within the EW+S residential estate.
* Ensure accuracy and upkeep of an up-to-date data base/ records for efficient and effective record keeping and reference.
* Administration of Communal Claims and liaison with the Insurance Team.
* Be positive about the culture and working methods with colleagues and clients, have a can-do attitude and willing to go the extra mile.
* Weekly routine inspections on communal areas to ensure they remain presentable and properly maintained.
* Liaise with contractors when a resident’s feedback is about their performance and/or service delivery.
