West View Surgery has a vacancy for a Medical Receptionist.
This is an essential front-line role at the practice, where you will play a vital role in joining our team, speaking to patients and other stakeholders on the telephone and in person, managing patient referrals, and processing clinical documentation among other essential tasks. The role of the Medical Receptionist is varied and challenging.
Main duties of the job
There may be on occasion, a requirement to carry out other tasks; this will depend upon factors such as workload/staffing levels:
1. Deal with all general enquiries
2. Provide an effective and efficient reception service to patients and all other visitors to the practice.
3. Maintain and monitor the practice appointment system
4. Process personal, telephone, and e-requests for appointments
5. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately
6. Signpost patients to the correct service
7. Initiate contact with and respond to requests from patients, team members, and external agencies
8. Data entry of patient registrations and relevant patient information as required
9. Input data into the patients' healthcare records as necessary
10. Ensure all letters, reports, results etc. are scanned and filed promptly, ensuring that all recent correspondence is available when patients are seen
11. Create clinical referrals via the e-referral system
12. Manage all queries as necessary in an efficient manner
13. Carry out system searches as requested
14. Summarise new patient medical records
15. Process patient deductions via the PCSE portal
16. Maintain a clean, tidy, effective working area at all times
17. Support all clinical staff with general tasks as requested
18. Request patient investigations via the ICE system

Job responsibilities
The following are the core responsibilities of the Medical Receptionist. There may be on occasion, a requirement to carry out other tasks; this will depend upon factors such as workload and staffing levels:
1. Acting as a 'first point of contact' with patients over the telephone and in person at the reception desk.
2. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
3. Manage all enquiries in an effective manner.
4. Process calling letters as requested.
5. Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records.
6. Input data into the patients' healthcare records as necessary.
7. Process referrals using the electronic referral system (ERS).
8. Process requests for information i.e. SAR, insurance/solicitors letters, and DVLA forms.
9. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
10. Carry out system searches as requested.
11. Maintain a clean, tidy, effective working area at all times.
12. Support all clinical staff with general administrative tasks as requested.
13. Process new patient registrations.
14. Provide front of house reception cover.
15. Process prescription requests.

Experience
* Experience of working in a GP surgery
* Experience of administrative duties
* Experience of using EMIS Web
* Experience of using eRS
* Experience of working in a healthcare setting
* Excellent communication skills (written and oral)
* Clear, polite telephone manner
* Competent in the use of Office and Outlook

Qualifications
* Educated to GCSE level or equivalent
* GCSE Mathematics & English (C or above)
* NVQ Level 2 in Health and Social Care or Business Administration
