Join Our Team as an Administrative Assistant Are you a dynamic and highly organized individual? We are seeking an Administrative Assistant to become an integral part of our team. You will report directly to Kayleigh Mariscal and Michelle Arredondo, playing a crucial role in the planning and execution of various tasks for the Transpose Platform. Responsibilities: Maintain extensive communication with multiple stakeholders. Travel several times a year to San Francisco, CA, with potential travel to Japan. Meet with the Executive Assistant (EA) team daily to ensure smooth operations and attention to detail. Help manage day-to-day schedules to ensure executives meet their obligations in an organized, efficient manner alongside our lead Executive Assistant. Coordinate internal and external meetings, including but not limited to team meetings, full staff meetings, all-hands meetings, off-site meetings, one-on-one meetings, and meetings with team members and customers. Respond to correspondence from staff and clients, directing them to the appropriate team members. Provide clients with necessary information. Assist with managing calendars, scheduling appointments, and coordinating meetings across multiple time zones. Prepare agendas for meetings and, when requested, attend to record and transcribe minutes if needed. Create and manage spreadsheets Work on multiple projects simultaneously while maintaining accuracy Collaborate effectively with coworkers, clients, and suppliers Compose clear and accurate correspondence with clients and inter-company personnel Maintain files on credit card charges and update records as required Archive meeting presentations for compliance purposes Arrange travel accommodations for staff, including coordinating online conferences and meetings when requested Qualifications: 5 years minimum to 7 years of experience as an Administrative Assistant. Experience working with institutional investors and founders is desirable. A bachelor's degree in Business Administration is preferred. Strong organizational and multitasking skills with a keen attention to detail. Excellent communication and interpersonal skills. Ability to work well under pressure and meet tight deadlines.
