The post holder will provide a comprehensive, quality and confidential personal assistant and administrative service to the Specialist & Secured Services Management Team. A key requirement of the role will be to help organise and co-ordinate workload and activities to our Assistant Director, Specialist & Secured Services & our Deputy Chief Pharmacist to ensure that an efficient service is provided. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the team.
Responsibilities include:
1. Provide a comprehensive personal assistant and administrative service to the Assistant Director, Specialist & Secured Services & our Deputy Chief Pharmacist. This will include drafting communications, emails and co-ordinating responses with minimum supervision and guidance, dealing with day-to-day enquiries and managing electronic diaries.
2. Proactively manage diary commitments by liaising with others, ensuring that all required preparation is accurate and available, and that all relevant parties are briefed on any difficulties, problems or issues.
3. Meeting management, agenda setting, minute taking and running of action logs with follow-up actions chased and systems updated.
4. Build and maintain constructive relationships with others, within and across our pathways and externally to improve the effectiveness and efficiency of services for both staff and patients.
5. Develop and continually improve effective information management systems, including maintaining an efficient bring forward system to effectively monitor delegated work. Progress/chase outstanding items while dealing confidently with staff at all levels.
6. Maintain an effective and up-to-date filing system and regularly review old files in line with departmental retention and disposal arrangements.
