Job Summary:
We have an exciting opportunity for an ambitious and motivated individual to join our market-leading PMO team at Cushman & Wakefield. This role is ideal for a newly qualified Graduate looking to develop a successful career within Programme Management.
The objective of the role is to deliver operational activity for client Real Estate programmes within the Programme Management Office (PMO). This position works closely with various global and EMEA clients, third parties and diverse cross-functional stakeholders within Cushman & Wakefield to support, deliver and track multifaceted deliverables.
This includes supporting the development and maintenance of standardised programme planning and control systems, effective integration and communication across stakeholders, tracking and alignment of programme activity, escalating risks and issues when identified, implementing required compliance and governance protocols and providing overall programme and project support.
A Coordinator at Cushman & Wakefield provides excellent professional service to clients and is key to the day-to-day delivery of client activity. The expectation is that the successful candidate will be able to support a variety of client accounts, is a team player and is highly motivated.
Key Responsibilities:
1. Support kick off of new programmes, including steering committees, working groups and subject specific meetings across all levels of seniority and ensuring meeting governance is in place throughout.
2. Support the development of client strategy, ensure this is translated into achievable programme deliverables and gain buy in.
3. Support the identification and documentation of critical success factors, goals and programme objectives and that they are effectively communicated to create successful change culture.
4. Support identification of stakeholders, resourcing gaps, stakeholder risk and appointed decision makers, ensure Roles and Responsibilities are communicated and understood.
5. Engage programme and project teams as instructed and develop and manage communication plans across all channels, including knowledge sharing, programme updates, confidentiality, access and media management.
6. Support the development of early risk identification mechanisms, Risk Registers, mitigating actions and escalations.
7. Support subject matter experts to develop, review, integrate and commit to programme phases, tasks and deliverables to create a master programme plan, own the administration of the plan throughout the programme.
8. Support operational teams to review any in-flight projects or programmes that will affect or be affected by programme activities and ensure well planned integration activities.
9. Support the development of the programme timeline, critical dates, milestones and slack.
10. Support the development of the budget, cost plan and business case approval workflow.
11. Develop and issue reporting, tracking and communication tools and updates to align to the communications plan and ensure stakeholder engagement and alignment.
12. Develop and implement early and post programme feedback mechanisms to ensure the programme is successful, implement iterative process improvement.
13. Ensure day to day tracking, governance and administration processes and platforms are updated and on track, escalate when needed.
14. Facilitate training and onboarding throughout the programme.
15. Facilitate development of Playbooks, process documentation and governance tools to capture best practice and future operations.
16. Ensure a well-planned and well-prepared handover to operations teams, with clear ongoing roles and responsibilities and ownership of outstanding actions and close out.
17. Delivery of client invoicing, ensuring all systems and platforms are up to date and accurate.
18. Build a strong colleague network and client relationships, support leadership in mobilising new projects.
19. Maintain a strong ‘Opportunity and Ownership’ culture.
20. Maintain professional and ethical standards, best representing Cushman & Wakefield.
Person Specification:
1. Degree in relevant Real Estate and / or Programme Management field or 1+ years of relevant experience.
2. Strong organisational skills.
3. Ability to engage with diverse stakeholders at all levels of an organisation.
4. Strong communication and organisational skills to motivate and engage project teams.
5. Willingness to take ownership and solve problems to ensure deliverables are met, including escalation.
6. Some knowledge of Programme Management tools and methodologies.
7. Highly motivated with a focus on delivering excellence for clients.
8. Strong skills in MS Office tools, MS Project an advantage.
9. Ability to understand and follow complex oral and written instructions.
10. Experience of organising a wide range of events.
11. Ability to stay current in own field and pursues opportunities to demonstrate expertise.
12. Shows professionalism and collaboration qualities, is a team player and shares best practice with others.
13. The ability to work independently and allocate tasks consistent with business goals.
