Job Purpose
The role is full-time over a fixed period. The Picturehouse outdoors season runs from June to September 2025 and will travel to different locations throughout the UK.
The Outdoor Cinema Coordinator plays a key role in ensuring the smooth operation of the Picturehouse outdoor cinema season. The primary focus of this role is to uphold all Health and Safety responsibilities and provide an exceptional open-air cinema experience for our guests.
Events are held over summer weekends, with Friday-Sunday as event days, while Monday and Thursday are generally preparation days, allowing for midweek days off.
This role requires availability for all events between these dates, with a rest week partway through the season.
The Outdoors team consists of an Outdoor Cinema Manager and three Outdoor Cinema Coordinators, and you will be responsible for leading a host cinema team at each location.
Before the Event (In conjunction with the Outdoor Cinema Manager)
* Assist the Outdoor Cinema Manager with pre-event preparations and liaise with venue management as required
* Attend a mandatory pre-season training event
* Prepare all the equipment and ensure all aspects are in operational order
* Carry out any routine maintenance checks
* Provide ad/hoc support to Picturehouse's Operations department with logistics and other tasks that may arise before and during the season, such as transporting stock/equipment/furniture between Picturehouse cinemas
Ongoing Responsibilities (In conjunction with the Outdoor Cinema Manager)
* Collaborate with the host cinema and local teams to communicate event plans effectively
* Liaise with the Marketing & Partnership departments to ensure comprehensive promotion of the events and fulfill all sponsorship requirements
* Coordinate with venue management to ensure all event aspects are well-organised
* Liaise with third-party suppliers
* Be commercially driven to maximise food and beverage opportunities to drive retail spend throughout the season
* Stock Control & Ordering
* Address customer queries and issues received directly by the outdoor management
* Set up and monitor ticket sales
* Set up Point of Sale (POS) and manage retail transactions
Delivering the Event (In conjunction with the Outdoor Cinema Manager)
* Drive a 3.5t Luton or LWB van to and from event locations
* Load and unload the van, including manual handling and heavy lifting of outdoor cinema equipment
* Manage event coordination with the host cinema team
* Daily setup and takedown of the event, including Box office, Cinema screen, F&B counter, and Projection
* Operate food & beverage counter and retail equipment
* Operate projection equipment
* Operate ancillary equipment
* Serve customers
* Liaise with the venue
* Liaise with partners (Sponsorship) and deliver required brand activations
* Adhere to Health and Safety legislation
* Act as the nominated first aider
* Provide the best possible Picturehouse experience to guests
After the Event (In conjunction with the Outdoor Cinema Manager)
* Perform post-season decommissioning tasks
* Prepare performance reports on the season activity
Desirable Experience & Requirements
* Previous experience in a logistics role
* Previous experience working in a cinema or facilitating events
* Administrative experience and knowledge of Google Suite
* Understanding of Square POS and creating products in the back office
* Ability to fulfill functional responsibilities to a high standard
* Drive and resilience to support operational activities and efficiency
Essential Requirements
* Full driving license
* Confidence in driving a 3.5t Luton or LWB van
* Availability to work flexible hours, including weekends and evenings during the summer season
Location
You will be situated with good access to London. Hackney Picturehouse is used as the base during the season, where you will need to attend preparation days before weekend events. This is a remote role, and the location of the screenings will vary throughout the UK. Accommodation is provided when attending events outside of London.
