Description The Team Leader works alongside the Service Manager to ensure the delivery of an accurate and timely validation service of bills and invoices on behalf of our customers through the effective leadership of a team of Bill Validation Analysts who carry out a range of administrative tasks and duties within the bill validation team. Working in collaboration with their colleagues in the Bill Validation team and key stakeholders from the Service Excellence function, the Team Leader will support the Service Manager to leverage technological solutions to improve the effectiveness and efficiency of the team while using data and reporting to drive performance, monitor key metrics and inform decisions in support of the Director of Service Excellence. Primary duties Bill Validation Ensures the delivery of the day-to-day support of the bill validation team, enabling them to provide an excellent service to our customers based on their respective segmentation and agreed SLAs through the effective management of our bill validation analysts. Plans and allocates the workload of the bill validation analysts through the effective monitoring and review of bill validation data and metrics. Supports in the monitoring the performance of suppliers through team feedback, customer support data and metrics, liaising with the Service Manager and other key stakeholders to address any shortfalls in supplier SLAs that impact on our customers and/or the Company. Actively participates in and contributes to internal and external meetings, engaging with stakeholders and working collaboratively to share best practice, creative solutions and information. Works with the Service Manager to support the Director of Service Excellence to establish and maintain excellent service across the organisational unit by completing additional tasks and project as required. Leadership Inspires, coaches and develops the Bill Validation analyst team to deliver an accurate, timely and excellent service to their internal customers. Ensures that all team members maintain their knowledge and awareness of our products, services and value proposition by arranging or carrying out relevant training and development activities. Completes regular 1-2-1 check-in meetings with each member of their team to provide coaching, constructive feedback and support in delivering excellent service and performance. Conducts regular team meetings to support the Bill Validation analysts in delivering success and overcoming challenges while participating in wider team meetings within the Bill Validation team. Deputises for the Service Manager in their absence, providing leadership and support to the wider Bill Validation team and liaising with the Director of Service Excellence as required. Carries out regular performance and development reviews with each team member to ensure their continued development, performance and success. Ensures that all People & HR related tasks and activities are completed and documented in a timely manner in line with our Company policies, procedures and the direction of the People team. Knowledge Essential In-depth understanding of the energy industry and the role of a Third-Party Intermediary (TPI) in the context of delivering products and services for customers, as well as the regulatory requirements and relevant codes of practice Desirable In-depth knowledge and understanding of the billing of utilities including contractual terms, VAT implications, standing charges and other associated elements of invoicing. Knowledge and understanding of people management practices, legal and regulatory requirements Knowledge and understanding of the products and services offered by the Company across all of its organisational units and areas. Experience Essential Experience using customer relationship, case management and bill validation software and systems to manage the delivery of a bill or invoice validation service. Experience of delivering a bill validation function through the effective coordination and use multiple technological solutions and platforms e.g. data parsing tools, supplier portals, validation systems and EDI importing. Experience of managing a team in a fast-paced environment while working under pressure. Experience of working in the utilities industry in a leadership or management role. Desirable Experience of identifying and implementing process improvements and opportunities for automation, leveraging technological solutions to drive efficiencies and service excellence. Experience of maintaining continuous improvement in relation to processes and practices within a team.
