As an Executive Assistant (EA) to the NERC Director(s), you will be at the heart of the organisation, ensuring the smooth operation of executive functions. Acting as a key interface with senior stakeholders, both internal and external, you will provide high-level administrative and strategic support. This role requires exceptional organisational skills, discretion, and the ability to work proactively under pressure.
Key Responsibilities
* Executive Support: Efficiently manage complex diaries, coordinate high-level meetings, and provide comprehensive administrative support to the NERC Directors.
* Stakeholder Engagement: Act as a primary point of contact for senior executives, government bodies, and external partners, ensuring professional communication and relationship management.
* Operational Excellence: Ensure the smooth day-to-day running of the Directorate, handling sensitive information with discretion and professionalism.
* Collaboration & Communication: Work closely with other Executive Assistants across NERC and UK Research and Innovation (UKRI) to maintain efficiency, continuity, and a seamless support structure.
* Cross-Functional Coordination: Collaborate with Executive Assistants within the Executive Office, NERC Centres, and UKRI Private Office, along with EAs, Personal Assistant (PAs), and Personal Secretary (PSs) in other councils, to provide seamless coverage and support. Work as a cohesive team to balance workloads and ensure the Executive Team operates smoothly.
* Event & Travel Coordination: Organise meetings, visits, travel arrangements, and briefing materials for the Director(s), ensuring all engagements are well-prepared and run smoothly.
* Information & Records Management: Maintain accurate records, manage correspondence, and ensure compliance with UKRI’s governance and record-keeping standards.
* Problem-Solving & Adaptability: Operate at the core of the organization, proactively handling diverse tasks, navigating challenges, and responding effectively to shifting priorities in a dynamic, fast-paced environment.
Person Specification
The below criteria will be assessed at Shortlisting (S), Interview (I) or both (S&I)
* Proven experience in an EA/PA or similar administrative role, ideally supporting senior leadership. (S/I)
* Outstanding organisational and time-management skills, with the ability to anticipate needs and act proactively. (S/I)
* Strong communication and interpersonal skills to engage effectively with stakeholders at all levels. (S/I)
* Ability to manage multiple priorities in a fast-paced environment, demonstrating flexibility and adaptability. (I)
* High level of discretion, tact, and professionalism when handling confidential information. (I)
* Proficiency in Microsoft Office and the ability to quickly learn new IT systems. (S)
* A collaborative mindset, with the ability to work independently and as part of a team. (S/I)
