Key Duties and Responsibilities
1. Co-ordinating all aspects of shipping high-end goods, fine art, and antiques, domestically and internationally:
* Liaising with overseas agents, private collectors, galleries, auction houses, artists, and transport companies.
* Communicating with clients, guiding them through the shipping process of their artefacts to and from different locations.
* Coordinating international shipments via all methods (air, sea, road), with a main focus on sea freight.
* Arranging customer collections and deliveries, including specialist packing services.
* Preparing and processing all documentation and booking chosen methods of transportation, handling paperwork including bills of lading, labeling, timesheets, detailed condition reports with photos, customs clearance, and advising customers of required payments.
* Ensuring invoices are produced on time, month to month or in advance as the job file requires.
* Maintaining comprehensive record keeping on our freight management system.
1. Assisting in handling and managing key accounts.
2. Managing projects:
* Managing multiple project files simultaneously, including timely booking of internal and external services (e.g., transport, case making, freight).
* Ensuring accuracy of project information (e.g., end date, projection date, value of invoice, and management of costs).
* Coordinating all aspects of shipping project items from one destination to another.
* Assessing clients' individual needs daily, liaising with overseas agents, private collectors, galleries, auction houses, artists, and transport companies.
* Quoting and coordinating both domestic and international shipments.
* Communicating with sales and operations teams throughout the day.
* Providing administrative assistance to the sales team.
* Offering assistance throughout the business as required.
* Attending regular team meetings.
