Position: Systems Compliance Manager
Location: Houghton Regis, Manchester, Belfast, Gloucester - Hybrid working
Job Type: Permanent, Full Time
The impact you will have:
An exciting opportunity has arisen for a QRC Systems Compliance Manager to join us at our Houghton Regis Head office. You will lead and develop a small team responsible for the maintenance, monitoring, development and continual improvement of our local Quality, Health and Safety and Environmental Management Systems. As a true "business enabler", you and your team will provide an efficient and effective systems compliance support service and will work closely with Arjo UKI Sales, Service and Rental Teams and other stakeholders across the business to promote and ensure compliance to our management systems, regulatory requirements and other standards, and to develop and continuously improve performance in all aspects of service delivery to our customers, while minimising risk, and maximising business opportunities.
Duties will include:
Leadership:
1. Provide knowledge, advice, direction and feedback on a daily basis.
2. Act as a quality mentor within UKI Organisation.
3. Ensure staff within your area of responsibility are trained and work in accordance with company policies and procedures and statutory requirements.
4. Monitor performance and manage, motivate and develop your team in line with company policies and Arjo guiding principle to ensure that they are fully effective in achieving company, team and personal performance levels and objectives.
UKI Legal and Compliance Requirements:
1. To ensure compliance with applicable regulatory requirements for the UKI market.
2. Undertake reviews on various applicable government websites and other information sources for changes to or new regulations that may affect the business.
3. Review and update the associated legal register with any applicable changes.
4. Review and amend management system procedures associated with any changes to the regulations to ensure compliance.
5. Take an active role in the HSE committee and work with internal stakeholders to provide support and guidance and pro-actively promote engagement, participation and ownership to drive continual HSE performance improvements.
6. Ensuring submission of QRC related company data into various platforms in line with external and internal regulatory and compliance related requirements.
UKI IMS Management Systems:
1. To assist in the development of the Arjo Integrated Management System, reviewing new International and National Standards, relevant legislation and the company procedures and process maps.
2. Regular reviews of the Quality, Environmental and Health & Safety management systems to ensure they meet ISO systems requirements and business needs, and to identify improvement opportunities.
3. Ensure procedures are maintained, updated and versions controlled in line with change control procedures and are accessible to Arjo employees via our internal platforms.
4. Support staff inductions and training and ensure employees have access to applicable QRC platforms and sites.
5. Prepare and deliver QHSE training that may be required and ensure records are maintained.
6. Compile ad hoc and scheduled reports for monthly Senior Leaders Team meeting and management system reviews.
7. Provide support and assist the business in the completion of tender submissions to maximize potential business gains.
8. Review, update and develop product PAQs to support UKI business.
9. Maintain the approved supplier/distributor list and process and approve applications in line with procedures.
10. Maintain accreditations and memberships and ensure that these are updated in line with system and scheme requirements.
11. Encourage ownership, engagement and promote compliance of management systems, legislative and other requirements across all business operations.
Risk Management:
1. Undertake regular reviews of risks associated with Arjo UKI business operations and work with stakeholders to ensure appropriate risk assessments are in place to manage and reduce risk so far as is reasonably practicable.
Internal / External Audits and Assessments:
1. To control and implement internal audits of the Integrated Management System (to ISO 9001, 14001, 45001) and report findings to local management and other stakeholders appropriately.
2. Liaise with 3rd party approval bodies to confirm audits, schedules and agendas for the coming year.
3. Complete audits in line with the published audit schedule and in line with Trackwise system audit requirements, including the generation and distribution of reports to stakeholders.
4. Carry out preparations, manage and participate in external audits being undertaken.
5. Follow up on non-conformances to ensure effective corrections/corrective actions are completed in in line with agreed targets.
6. Escalate all major NCs and other serious issues to Quality Director.
Project Participation / Management:
1. Support the business with projects to ensure compliance and that quality, environmental and health and safety requirements are considered and met within project scope.
2. Ensure QRC projects are organized, progressed and managed in line with documented project plans and records maintained.
Other responsibilities:
1. You will be able to deputise for Director of Quality and Regulatory Compliance UKI as required.
2. You will assist with local QRC budget preparation and forecasting, and will be responsible for compliance to Systems Compliance related current year budget with escalation if required.
3. Adhere and comply with Arjo Code of Conduct, policies, procedures and standards.
4. Any other QRC related duties that may be required.
Knowledge, Skills and Experience Required:
1. Degree or Diploma in Occupational H&S and/or Environmental Health as a minimum.
2. Sound working knowledge of Quality, Health and Safety and Environmental standard and relevant legislation.
3. Working knowledge and experience of ISO management systems, specifically ISO 9001, 14001 and 45001.
4. At least 5 years' experience working within a SHEQ/Compliance environment.
5. At least 2 years' experience in managing a team.
6. Trained lead auditor with varied auditing experience.
7. Competent trainer, presenter.
8. Working knowledge of Office Suite including Microsoft Word, PowerPoint, Teams and Excel.
9. Ability to work with minimum supervision to agreed timescales and to prioritise workload to maximize results.
10. Must be flexible and have a willingness to undertake varied responsibilities when working alone or as part of a team.
11. This role requires travel within UKI region, as well as limited international travel.
12. Driving license required.
