Anabas is currently seeking to employ an experienced Receptionist to carry out reception duties to provide an exceptional client experience through the delivery of their duties to one of our prestigious clients in London. A high standard of service delivery is expected, and you will have the ability to understand what is needed to ensure our client requirements are met. Working at a UK based not-for-profit organisation focussed on enabling global political leaders to drive change you will lead an exceptional front of house experience for our clients staff and visitors including VIPs. You will be the first point of contact that the client has with Anabas. Therefore, it is critical that the job holder demonstrates professionalism, ownership and responsibility for attending to the clients needs on site and where they are unable to do so, escalating in a swift and speedy manner to the appropriate personnel within Anabas to quickly satisfy the needs of the client. The successful candidate will be the go to contact for all floor occupants and visitors, actively building relationships with key stakeholders/customers. You will develop systems and processes to ensure a seamless experience for staff and visitors and in particular meeting room management and hospitality provision. Working closely with your off-site Account Manager you will supervise the day to day operation including security officer and daytime housekeeper functions. You will be responsible for liaising with the evening cleaning team on focus areas for the following shift on a daily basis. You will work closely with the client Facilities Team to support on ah-hoc activities relating to meetings, events, mail and security needs. This role requires a Front Line SIA license (funded by Anabas), appropriate vetting checks and a signed NDA (non-disclosure agreement) You will have: Experience working as a receptionist in a corporate office environment. Have exceptional organisation and communication skills. Be the main Facilities point of contact for office staff while on shift, passing messages to the team via hand over books or in person as required The ability to work in a fast-paced environment in which you can maintain an exceptional level of service whilst managing multiple tasks. Unlock and open the office for general staff access commencing at 07:00 Visitor management, including guests and contractors, providing excellent customer experience to internal and external clients Ensure appropriate health & safety messages are provided to guests Ensure a clean and tidy reception area Escort guests of the Executive office, preparing refreshments as needed Collect and set-out lunch for the Executive Office and ensure stocks of fruit and drinks Be the main contact point for the Reception email inbox and Teams profile Work with security officer for day-to-day management of the building access control system Work with security officer to process incoming and outgoing mail / couriers, and taxis Oversee consumable deliveries, working with the day cleaner to manage stocks Provide meeting room support by organising stationery, equipment and external client meeting refreshments Conduct regular inspections of meeting rooms and report issues accordingly Advise staff on booking suitable meeting facilities Forward voicemails from the Reception mailbox as required (no switchboard). General ad-hoc support for the Facilities team relating to meetings, events, mail and security needs Work with the Anabas helpdesk and Account Manager to book in and oversee Anabas contractors required to deliver services to site.
