Estates, Facilities and Procurement Executive
Established in 1959, my client is a leading and well-established organisation, that is currently seeking an Estates, Facilities and Procurement Executive to join their team based in Belfast.
This is a Full-Time, Permanent Position.
Working hours: Monday to Thursday: 9am - 5pm and Fridays: 9am - 4.30pm
With a salary of £28,860 - £35,016 per annum
Job Purpose:
You will be assisting the Senior Property Manager in the delivery of a comprehensive range of property and fleet management services to the business which will support the organisation's aims and objectives.
Main Duties and Responsibilities:
1. Actively involved in the managing, supporting & delivery of property related aspects across the Group
2. Manage the day-to-day building operations and security of Lombard House, ensuring a professional service is provided to all who operate within the facility
3. Manage the Property related Statutory Compliance process across the Group to ensure compliance and timely follow up of any actions as required
4. Actively involved in managing the Planned Maintenance schedule across the Group, including engagement with contractors to ensure timely delivery of the plan
5. Complete Property related reviews / audits across the Group as appropriate
6. Manage and support delivery of various property related projects and initiatives across the Group
7. Support the delivery of the financial budget and value for money reviews for property related costs across the Group
8. Ensuring records for all estate management issues are kept up to date
9. Actively involved in all aspects of contract management, ensuring contracts are implemented and supported to satisfactory completion
10. Assist the SPM in the review and accuracy of the Corporate Contracts Log, ensuring compliance with procurement procedures
11. Responsible for property related supplier management and performance as directed by SPM
12. Establish and maintain the supplier base of approved contractors
13. Support the SPM with property contracts / leases / SLA's implementation and review as required
14. Manage the administration of the organisations fleet management requirements
15. Assist the SPM in compliance with fleet insurance and legislative requirements, across Ireland
16. Undertake vehicle audits and assist the SPM in fuel management reviews
17. Assist in the compliance & delivery of the Procurement policy across the Group
18. Actively involved in embedding the Procurement policy within the Property team, to include ensuring the Preferred Supplier Listing reflects the property related needs of the Group
19. Assist the SPM in utility management, analysis, and procurement requirements
20. Maximise individual and departmental performance through the implementation of a high-performance culture and in line with the company strategy
21. Be a positive role model, coaching, mentoring and supporting staff in their personal development within their role, encouraging innovation and creativity within the workplace
22. Manage performance of reporting staff and ensure regular supervision in line with the group Performance Management system and staff management procedures
23. Develop and maintain collaborative and productive relationships with managers, employees and external bodies establishing professional credibility
24. To provide high quality, sufficient and timely information to assist the SPM in advice to the Executive Leadership Team and other organisational departments to make informed decisions
