Applications may be considered whilst this vacancy is advertised. The Role: The Rugby Football Union (RFU) is the national governing body for grassroots and elite rugby in England. Its purpose is to enrich lives and develop the sport for future generations. After undergoing a period of transformation and change the Strategy and Operations department has recently developed a new ‘Business & Corporate Support’ function. The ambition of this function is to efficiently operate business processes and manage corporate governance for the organisation. We are looking for a Corporate Support - Business to join our Strategy and Operations team to support the corporate processes within Business Operations and Commercial divisions. The role holder will be pivotal to the way the departments operate, ensuring key events and meetings are planned, and prepared in a timely way to drive the strategic direction of the departments. The role holder will need to build strong relationships, networking across the business and external environment to ensure that projects and governance forums deliver their stated objectives. Some key responsibilities include: Corporate Divisional Support: Be responsible for administering key meetings. This will include: designing and maintaining forward planners for meetings and proactively planning meeting timings and structures; preparation of papers, presentations and action lists, minute taking of these meetings, and ensuring actions are duly allocated and completed; and day-to-day contact with senior individuals within the department, including Executive and Leadership. Support the fulfilment of company secretarial duties including: File relevant documents with Companies House, the Financial Conduct Authority, the Information Commissioner’s Office and other relevant bodies in a timely manner. Keep company books of RFU group companies up to date. Keep up-to-date records of appointments to the Board, Council and committees and sub-committees and ensure that term limits for individuals are respected. Support the Business & Governance Manager in co-ordinating the preparation of the RFU’s Annual Report. Working with internal and external stakeholders to ensure that cross-functional meetings are organised and delivered. Develop and maintain legal and compliance processes, to include but not limited to the gifts and hospitality register, conflict of interest registers and the RFU’s speak up policy. Where required, assist with compiling information for data subject access requests. Support other corporate processes as required, including Club Audit. Business Management Working with departmental strategy managers and the wider Strategy and Operations functions to ensure that key events and meetings in the departments are planned and delivered to a high standard. Become an expert user of key departmental systems, which may require you to administer access and training to the platforms if appropriate. Manage the timely and accurate reporting of information to relevant committees through collaboration with business-wide project managers. Build strong working relationships with key internal stakeholders, developing and executing thorough stakeholder management processes. Must maintain confidentiality and have the ability to handle highly sensitive material with discretion. Managing and analysing information, drawing conclusions and presenting it in an easily understood manner. Problem solving, evaluating and decision-making for ad-hoc project related tasks. Support other corporate processes as required. Other Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business and operational plans. Qualifications, Skills & Experience: The skills and attributes outlined in this description are not exhaustive and we welcome candidates who can bring different relevant experiences to the role. Essential: Must have experience of providing administrative support in an office environment. Effective communicator who possesses good communication skills and an ability to engage at all levels. Strong literacy with well-developed writing skills. Proficiency in Microsoft Word, Excel and PowerPoint with experience using Smartsheet desirable. Excellent organisational skills, attention to detail and time management. Must maintain confidentiality and have the ability to handle highly sensitive material with discretion.
