Job Summary
South Leicestershire Medical Group is looking for an enthusiastic individual to take on the role of Rota, Education and IT Coordinator within the partnership. The successful candidate will work closely with all clinical and non-clinical teams throughout the partnership in all of our practices. This exciting position will be a key role within the operational and planning side of the practice.
Position: Full-time position – 37.5 hours per week
Working hours: 8am-4pm Monday-Friday
Main Duties of the Job
The post will involve the day-to-day coordinating of South Leicestershire Medical Group’s medical staffing rotas, ensuring an appropriate level of staff and clinical safety is maintained. Responsibilities include liaising with external third parties on clinical students, planning rotas, and creating a seamless transition into the practice for placements. Ensuring that all IT equipment and systems are in working order for all clinical and non-clinical team members throughout the partnership is also essential. The role requires close collaboration with the partners and senior management team to support the needs of the practice.

Job Responsibilities
Rota
1. Co-ordinate medical rotas to identify problems and provide solutions to rota issues, ensuring clinical safety is maintained.
2. Monitor future rotas and plan to reduce the number of vacant shifts, maintaining 8 weeks of rotas for smooth running of the practice.
3. Review unexpected absences daily and find solutions to ensure gaps in the rota are mitigated.
4. Arrange cover or cancel clinics due to sickness/annual leave/courses.
5. Contact Doctors directly if urgent cover is required.
6. Create and change clinical session templates, liaising with other team members about room availability.
7. Advise the Senior Management team of any future staffing issues.
8. Establish and maintain effective administrative systems and processes between Clinical Staffing and the Senior Management Team.
Education
1. Liaise with Deanery about medical students and trainee Doctors and work with the Practice GP Trainers to support ongoing in-house training placements.
2. Organise induction programmes/equipment for GP medical students & GP registrars.
3. Produce timetables for GP students ensuring the availability and allocation of appropriate support.
4. Liaise with the Deanery to calculate GP trainee holiday entitlements.
5. Responsible for all student equipment setup and inquiries.
Room Hire
1. Responsible for room hire, ensuring the venue and facilities are clean and organised.
2. Manage all bookings for meetings/events and liaise with clients to determine event requirements.
IT
1. Deal with any IT issues, including PC equipment and software.
2. Set up new starter accounts and smartcards.
3. Attend IT forums and maintain contact with LHIS regarding IT changes.
4. Resolve internal IT problems in a timely manner.
5. Order IT equipment and organise LHIS visits to fix IT issues.
6. Liaise with patients on IT issues relating to online services.

Person Specification
Qualifications
* GCSE (or equivalent) grade A to C in English and Maths.
Experience
* Experience in rota planning and management.
* Experience in dealing with minor IT hardware and software issues.
* Ability to influence others and achieve change.
* Ability to prioritise and meet deadlines.
* Exceptional verbal and written communication skills.
* Remain calm under pressure.
* Experience of working in a GP or healthcare setting.
* Knowledge of Systmone.
* Good knowledge of IT and Microsoft Office, especially Excel.
* Knowledge of the requirements of student placements.
