Summary:
The Director of Central Intake, reporting to the Vice President of Operations, will be responsible for developing, implementing, and optimizing our new intake function. This leader will be responsible for building the structure of the centralized intake vertical and our clinical evaluation, recruiting and managing a team and ensuring a seamless, high-quality intake experience for prospective clients. This role will play a pivotal role in ensuring Guidelight's client's have an efficient intake process and seamlessly transition to care at a local Guidelight clinic. The role combines strategic planning, team leadership, and operational oversight to support Guidelight Health's growth and commitment to excellence.
Responsibilities:
* Strategy and Structure Development:
o Design and implement a centralized intake process to streamline client evaluations and improve efficiency.
o Collaborate with clinical and operational leadership to align the intake process with Guidelight Health's strategic goals and clinical standards.
* Team Building and Management:
o Recruit, onboard, and manage a high-performing team of intake associates and master'slevel therapists.
o Develop and implement training programs to ensure staff are equipped to provide exceptional client service and meet compliance standards.
* Quality Assurance and Process Optimization:
o Establish and maintain a robust Quality Assurance (QA) program to monitor and improve intake processes and client outcomes.
o Develop key performance indicators (KPIs) and regularly analyze data to identify opportunities for improvement.
o Ensure adherence to all regulatory and ethical standards in client evaluations and intake procedures.
o Partner with clinic teams to establish and maintain workflows that ensures client transitions to their home clinic are seamless.
* Operational Oversight:
o Oversee the day-to-day operations of the centralized intake team, ensuring efficiency, accuracy, and a client-centered approach.
o Partner with technology and operations teams to implement systems that support intake processes and data tracking.
o Act as a point of escalation for complex intake cases or client concerns.
Qualifications:
* Bachelor's degree required.
* 5+ years of experience operating and scaling intake and admissions functions, or a related area within healthcare.
* Extensive experience building and managing centralized teams, including hiring, training, and performance management.
* Proficiency with Microsoft Office, EMR systems, ideally Kipu, and CCaaS platforms.
* Strong project management skills with a track record of implementing new systems or processes.
* Knowledge of behavioral health services, including PHP and IOP, and familiarity with clinical assessment protocols are a plus.
* Exceptional communication and interpersonal skills, with a client-focused mindset.
* Proficiency in using data to drive decisions and improve processes.
