We are looking for an experienced administrator to help deliver admin and reception services in order to support our high standards of patient care. The successful candidate will be responsible for the general administrative and reception functions within the Practice.
The hours will be approximately 28 per week between 8am - 6:30pm Monday - Friday.
There will be a requirement for you to work across two sites on occasion, both Dalefield Surgery and Heaton Medical Centre.
Main duties of the job
1. To provide cover for members of the reception team during periods of sickness and annual leave
2. Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately
3. Processing prescription requests in line with Practice policies
4. Complete administrative actions on docman system task list
5. Deal with emails received into the Practice inbox(s)
6. Register new patients
7. Ensure patient information is recorded/retrieved on the computer system accurately and promptly
About us
We are an 8,000 patient Practice with 8 GP Partners. We also have 3 salaried GPs, 2 Practice Nurses, 1 Nurse Associate and 1 HCA. Alongside this we have a team of experienced admin, secretaries, and receptionists to support patients and clinical staff.
We also have a range of ARRS staff including Advanced Clinical Practitioners, Pharmacists, Mental Health Practitioners, MSK Practitioners, Dietitians, Social Prescribers, and Paramedics.
Job responsibilities
You will be responsible for undertaking a wide range of reception and administrative duties, as well as providing support to Management, Doctors, and Health Professionals.
Your main job responsibilities will include:
1. Maintain administrative systems so that written or computer information is easily accessible and secure
2. To provide cover for members of the reception team during periods of sickness and annual leave
3. Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately
4. Initiating contact with and responding to requests from patients, team members, and external agencies
5. Processing prescription requests in line with Practice policies
6. Manage the GP2GP worklists
7. Complete administrative actions on docman system task list
8. Deal appropriately with emails received into the Practice inbox(s)
9. Register new patients
10. Ensure patient information is recorded/retrieved on the computer system accurately and promptly
11. Deal appropriately with instructions and queries from management, Doctors, and Surgery staff
12. Any information regarding unresolved/urgent matters to be left readily available for any incoming colleagues to identify and resolve
13. To communicate effectively with GPs, Health Professionals, Hospitals, Patients and Relatives, and Nursing and Surgery staff, both verbally and in writing
14. To work as a team member with fellow colleagues
15. To participate in team meetings, and initiate ideas to improve the working environment

Qualifications
* GCSE qualifications or equivalent, preferably in English and Mathematics, Good IT skills
Experience
* Administration and/or customer service experience
* Experience working within a GP Practice
