The Production & Administration Technician is part of a team that provides comprehensive print and associated production services to Defence Academy and third-party customers using cut-sheet digital printers, wide format printers, dye sublimation and heat transfer systems, and associated finishing equipment. Also provides the departmental administrative, finance and purchasing functions. Working with graphic design colleagues direct with customers to a high-quality service.
Main responsibilities of the role include:
1. Triage for all Graphics & Print calls, liasing with clients, contacting customers to resolve issues, ensuring files are available and print ready.
2. Initial point of contact for clients by telephone, email or face-to-face at Media Services reception.
3. Control of incoming requests; progressing and booking off, developing procedures as necessary to ensure accuracy and traceability.
4. Cost and book off jobs on internal systems, working to defined procedures; issue requests for PO’s, and liaising with internal finance team.
5. Control third party income generation (3PIG) work. Raise requests, provide quotes, issue VAT invoices, and arrange payment. Implement procedures to ensure requests are actioned and tracked to completion.
6. Provide weekly and monthly financial and job volume reports to managers, based on data collected via Power BI reports.
7. Provide other administrative duties, including but not limited to booking in visitors, producing ad-hoc reports and chasing outstanding payments.
8. Pre-production clean-up, build, formatting and imposition of electronic files using proprietary graphics and specialist pre-press software.
9. Operation of both colour and B&W production printers to produce a wide range of print work ranging from business cards to colour brochures.
10. Finishing of printed work using standard printroom equipment including guillotines, folders, staplers, creasers and binders.
What you need to do the job:
1. Passionate about providing excellent product quality and customer service.
2. Good knowledge of Microsoft Office and particularly Word, Excel and PowerPoint.
3. Interest in design and media.
4. Practical experience of digital printrooms, wide format printing and finishing processes – desirable.
5. Good knowledge of Adobe Creative Suite, particularly Photoshop and Acrobat – desirable.
6. Good knowledge of print production processes – desirable.
