Community Hub Coordinator

We are seeking a compassionate and well-organised Community Hub Coordinator to join our team and make a meaningful impact. As the first point of contact for visitors, you will play a pivotal role in ensuring a positive and supportive experience for all. Your responsibilities will include project coordination, administrative tasks, and event support, contributing to the smooth and efficient operation of the Hub. Working closely with the Community Hub Development Manager and Chair of Trustees, you will help strengthen community engagement and participation.
Key Responsibilities:
1. Serve as the first point of contact, providing a warm and welcoming environment.
2. Engage with visitors to understand their needs and provide appropriate guidance and referrals.
3. Maintain accurate administrative records, including footfall tracking and reporting.
4. Assist in coordinating ongoing projects, ensuring effective administrative support.
5. Support the Community Hub Development Manager in overseeing the daily operations of the Hub.
6. Ensure compliance with GDPR in all record-keeping activities.
7. Assist with community group sessions, including preparation of refreshments.
8. Work collaboratively with the Chair of Trustees on research and project implementation.
9. Maintain a clean, safe, and welcoming space for visitors.
10. Assist with occasional events outside of regular working hours on a voluntary basis.
11. Adhere to health and safety policies, ensuring full compliance with risk assessments.
Daily/Weekly Tasks:
1. Record and update daily footfall logs.
2. Maintain and update project folders and administrative systems.
3. Complete and file signposting forms.
4. Reconcile any cash transactions.
5. Track attendance for community group meetings.
6. Scan and file activity records as part of ongoing project documentation.
7. Monitor office supplies and notify the Development Manager as needed.
8. Ensure all areas of the Hub remain tidy and welcoming.
9. Assist with data entry for financial records.
10. Provide support for research and referrals to external organisations.
11. Prepare refreshments for visitors and group sessions.
12. Set up meeting spaces for scheduled group activities.
13. Draft reports as required.
14. Ensure clear communication during shift handovers.
15. Support visitors, ensuring a positive experience at the Hub.
16. Complete any required banking or postal tasks.
17. Finalise and submit an end-of-week impact report to the Development Manager.
Essential Skills & Qualities:
1. Strong interpersonal skills with an empathetic and patient approach.
2. Ability to follow instructions and take initiative where necessary.
3. Excellent time management and organisational skills.
4. A collaborative team player with a proactive attitude.
5. Strong administrative and record-keeping abilities.
6. Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint).
7. Clear and effective communication skills.
8. Understanding of safeguarding principles, with a willingness to undergo training where necessary.
Additional Requirements:
1. A valid DBS check (or willingness to obtain one).
2. Two professional references, preferably from current or previous employers.
3. Proof of identity (photo ID) and National Insurance number.
