Overall Purpose of Role:
The role of the Reward and HR Operations Manager is to effectively deliver of all operational HR activities including all payrolls (UK, Singapore, Director) and related payroll reporting as well as all benefit renewals and administration.
The Reward and HR Operations Manager will also play an important role in the, HRIS system maintenance and annual audits and will work closely with the Head of Reward and HR Operations on strategic projects.
The Reward and HR Operations Manager will support and manage the HR Analyst.
Responsibilities:
Payroll and Benefits
* Responsible for the effective running of the UK payroll, including a detailed reconciliation of net month to month variance
* reviewing all monthly payroll interface data and variable data inputted by HR Analyst, in preparation for Head of Reward & HR Operations final review. Offer guidance to HR Analyst on all payroll data entry.
* Check all new joiners have the appropriate paperwork from onboarding
* Ensure appropriate evidence is obtained for all pay related changes
* Be the main point of contact to employees for any payroll related queries including helping the HR Analyst to manage the payroll inbox and coach them in picking up low level queries.
* Review the monthly new starter administration of the Company’s pension scheme and pension arrangements including monthly reconciliations and ensuring auto-enrolment obligations are me
* Submit monthly schedules for Give As You Earn and Childcare vouchers
* Run the annual renewal of all UK and SG benefit schemes and oversee monthly administration of medical and travel benefits
* Responsible for the Singapore payroll (small satellite team)
* Responsible for non-resident director payrun (4 directors)
* Responsible for GL reporting to Finance
* Investigate how to payroll P11d benefits, inline with the upcoming abolishment of P11ds
* Oversee the Company’s benefit ‘Wellness Week’; help HR Analyst liaise with all benefit and wellbeing providers, schedule week activities and coordinate the entire event.
Data and Systems
* Be the subject matter expert for HR systems, Oracle, Workday and ADP, and the first point of contact for all system queries.
* Ensure accuracy of all HR staff records is maintained via thorough record keeping.
* Oversee the HR budget with the Finance department.
* Ensure HR Analyst is accurately updating all HR staff records and maintain regular record keeping.
* Work with the HR Analyst on all annual system updates, including leave adjustments.
* Assist Head of Reward & HR Operations with HRIS improvement projects (development and testing)
Audit and Processes
* Own and manage the JML (joiner, mover and leaver) process from a HR perspective and represent HR in process improvement meetings
* Responsible for annual PwC JML audit
* Responsible for annual PwC financial / payroll audit
* Assist Head of Reward and HR Operations with continuous HR process improvement.
* Assist with process updates via Visio as and when required.
* Ensure employee data is cleansed in line with GDPR requirements
Academic and Professional Qualifications Required:
* Some level of CIPD / payroll qualification preferable.
* Degree educated.
Required Knowledge and Level of Experience:
* Previous experience of working in a professional HR department in a support and analytical capacity, within the financial services industry.
* Demonstrable experience supporting a busy HR environment.
* Extensive experience of working in a similar HR role.
* Experience of dealing with complex HR issues and processes such as year-end processes.
Skills set and Core Competencies Required for Role :
* Excellent system skills – thorough working knowledge of Microsoft Word, Excel (formulas, pivot tables etc.), PowerPoint and HR systems.
* Excellent communication skills – excellent verbal and written communication skills are essential.
* Ability to handle confidential and sensitive information and data.
Personal Qualities:
* Positive attitude.
* Ability to work on numerous work items with conflicting and sometimes tight deadlines.
* Ability to positively contribute to and enhance the existing HR team with a team player attitude.
