In particular, the post holder will: Provide a high level, professional and confidential service to the Deputy Directors, covering all aspects of secretarial, administrative and organisational support, with a key responsibility being diary management; Provide high quality and efficient project and administrative support, including information management, supporting project reporting and analysis. Organise meetings/events (including those with local sites and other external stakeholders), ensuring attendees receive accurate and timely information and that agendas are circulated in advance Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously. Ensuring that all communications materials are up to date and communicated through appropriate channels, liaising with stakeholders where appropriate. Supplying the relevant information required for financial management, supporting the Business Manager raising purchase orders, checking invoices for payment etc. Support the management of projects across the units Have lead responsibility for discrete pieces of work Running and collating reports which may include reports to the Board and senior management as required. Developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team
