Kenna Recruitment are searching for an Assistant Document Controller to join a Leading Refurb and Fit Out Contractor in Chatham. This role involves assisting the Lead Document Controller and the project team in a fast-paced environment with large amounts of information to process and distribute efficiently.
No Document Control experience is required however, we would prefer candidates who have administrative experience within the construction industry.
Job Role / Responsibilities
Oversee document management for several projects, ensuring project-related documentation is uploaded, distributed, and tracked correctly using the Deltek PIM platform. This includes:
* Request for Information
* Technical Submittals
* Sample Submittals
* Professional Team Drawings
* Subcontractor & Supplier Drawings
* Coordinate with the project team on specific documentation distribution requirements.
* Track missing or inaccurate project information and ensure updates are made.
* Load, track, and chase supply chain design information, including Drawings and Technical Submissions.
* Facilitate efficient retrieval of project documents throughout the project lifecycle.
* Assist in the collation of Operation and Maintenance Manuals as required.
* Attend meetings as needed to discuss project needs and outstanding information.
* Update, collate, and manage Progress Reports on live projects.
* Assist with the upload of tenders/enquiries received by the team.
* Publish incoming and outgoing emails.
* Provide general support for projects as needed, including saving documents, printing, posting information, and producing presentations for meetings.
* General administrative duties if and when required.
Experience / Skills
* Proficient in Microsoft Office – Word & Excel.
* Proficient in Outlook.
* Outstanding organisational skills with a keen eye for detail and accuracy.
* Excellent communication skills with Clients, Professional Teams, Team Members, and Supply Chain.
* Ability to lead meetings to review project information.
* Able to work to tight deadlines.
* Work well as part of a team and independently, using initiative.
* Flexible with the ability to manage multiple priorities.
* Prior knowledge of construction and the roles of the professional team, main contractor, and supply chain is advantageous but not essential.
