An exciting opportunity has arisen to work within the busy and vibrant Exams & Data team. We have five secondary schools across the MAT and a Trust Data Manager, so you will have support from colleagues across the trust. As the Exams, Data and Central Management System Manager (Arbor), you will be responsible for the organisation of examinations calendar, keeping student records and admissions information up to date, and liaising with external supply agencies to secure cover arrangements as required.

ESSENTIAL
• Be educated to at least GCSE English and Mathematics at Grade C/4 level or above
• Ability to prioritise to ensure that deadlines are met, whilst working under pressure
• Ability to work on own initiative
• Ability to maintain strict confidentiality in all matters
• Excellent communication skills, both written and verbal
• Excellent IT skills
• High level of numeracy and literacy
• Is willing to work flexibly within scope of overall hours e.g. occasional evening meetings.

Exams
1. Produce and agree an annual exam plan to meet Academy requirements.
2. Organising the calendar of examinations and assessments.
3. Ensure tasks are completed in an accurate and timely manner, meeting all agreed deadlines.
4. To ensure that entries and removals for exams are accurate and timely.
5. Providing appropriate provision and supervision of the examinations staff, including invigilators and liaising with external bodies.
6. Ensuring all examinations run smoothly.
7. Acting as a central receiver of the information from Examination Boards, DfE, LA and other bodies, and ensuring relevant information is shared with curriculum leaders and the Senior Leadership Team.
8. Processing examinations results and preparing exam related data as required by stakeholders.
9. Ensuring effective and efficient management of the Exam budget.
10. Provide and organise the timetable of examinations and tests (written, oral and practical), rooming them according to numbers and materials required, planning invigilation as necessary and equipping rooms with required facilities.
11. Collate and coordinate information about students who need special consideration or access arrangements. This involves liaison with teaching staff, pastoral and inclusion teams, as well as effective communication with students and parents.
12. Oversee the efficient use, training and development of exam invigilators to support exams.
13. To be present on the days the centre is notified of results and results day (these dates change year on year).
14. Effectively manage the provision of external exams and management of post-result queries such as remarks and challenges to moderation etc.
Data
1. Create and maintain the data entry sheets for the school monitoring series.
2. Be responsible for the maintenance of all data relating to student targets, performance and progress and produce relevant reports to an agreed schedule. Ensure data systems and report templated are up to data and accurate.
3. Oversee the quality assurance process to ensure the accuracy and integrity of the school’s data systems, including student monitoring and academic reports.
4. Ensure that school pupil data systems are kept accurate.
5. Work with the Executive Headteacher to provide support with department and school data.
6. Ensure the Arbor database is kept accurate and up to date.
7. Lead the administration of an effective options process (KS4) working with the Deputy Headteacher, Head of Year and SENDCo.
Central Management System – Arbor
1. Be responsible for the maintaining the pastoral structure and course manager in Arbor.
2. Support the Trust Data Manager in the creation and upkeep of the school timetable.
3. Lead the maintenance and housekeeping in Arbor to ensure their smooth running (e.g. completing non-exam end of year processes).
4. In conjunction with the Curriculum Leaders, oversee class lists and set changes in Arbor.
5. Lead on the entering of all student admissions onto the school management information systems, keeping Pupil Premium, Free School Meals, and Ever6 accurate and up to date.
General
1. Be responsible for daily cover. This includes the efficient and effective allocation of cover supervisors and supply staff, liaising with absent staff and sharing cover work with student details with the lead cover supervisor.
2. Work with others to secure the completion of an accurate completion of the school census.
3. Any other responsibilities commensurate within the requirements for this role or as directed by the Headteacher and flexibility to support colleagues across the different teams/departments as required.
